Retail and distribution · Software for auctioneers

Follow each lot from consignor receipt to buyer payment and consignor settlement.

An auction house takes in goods from many sellers, sells them on one day, then pays each seller after costs. Lots, bidders, hammer prices, commissions and payouts all depend on each other. The auctioneer software holds consignments, catalogues, registered bidders, invoices and settlements together, so nothing sold is lost between the room and the ledger.

At a glance

An auction is a short event with a long tail. Weeks of valuing, cataloguing and photographing lead to one sale day, followed by weeks of invoicing buyers, collecting goods and paying consignors.

Consignment and sale software for auctioneers keeps every lot on one record from the day it arrives. Reserve, estimate, hammer price, buyer’s premium and seller’s commission are stored beside the item, so the settlement can be written without a second pass through the catalogue.

How the work runs today

A consignor brings goods or the auctioneer visits to value them. Each item is given a lot number, a description, a condition note, photographs, an estimate and a reserve, and the seller signs a consignment agreement setting commission and fees. The catalogue is then built, published and sent to the mailing list, with viewing days arranged.

On sale day bidders register at the desk, receive a paddle number and bid in the room, by phone, by absentee bid or online. The clerk records each hammer price against its buyer. Afterwards the accounts team issues buyer invoices with premium and tax, collects payment, releases goods, then pays each consignor the hammer price less commission and charges.

Where it breaks

What goes wrong for auctioneers without a proper system.

Lot details are retyped several times

The same item is described in the receipt, the catalogue and the sale sheet. Each copy is a chance for a wrong reserve or a misspelt name.

Bidders are hard to identify at the desk

Registration, identity checks and deposits are taken on paper. A repeat buyer is asked for the same details again.

Absentee and phone bids are kept apart

Commission bids arrive by email and phone before the sale. The clerk has to merge them with the room at speed.

Settlements take careful hand work

Each consignor’s statement needs the hammer prices, commission, photography charges and any unsold lots. One error is visible to the seller.

Unpaid buyers and uncollected goods pile up

Items sit in the store while payment is chased. Nobody sees at a glance who owes what.

What the software does

What we would build for auctioneers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Consignments and lot register

Record each consignor, agreement and item with condition notes, photographs, estimate and reserve, and assign lot numbers when the catalogue is set.

Catalogue and sale scheduling

Group lots into sales, order them, set viewing days and publish the catalogue by email, print or web.

Bidder registration

Register bidders at the desk or online, issue paddle numbers, keep identity checks and deposits on record, and reuse the details at the next sale.

Bids and the sale-day sheet

Enter absentee, phone and room bids in one sheet, record the hammer price and buyer for each lot, and mark lots passed or withdrawn.

Buyer invoices and collection

Issue invoices with buyer’s premium and tax set for your country, take payment, and release goods only once the account is settled.

Consignor settlement

Work out each seller’s payout from hammer prices less commission and charges, list unsold lots, and issue the statement.

Storage and delivery

Track where each lot is held, who has collected it and which buyers need carriers booked.

Common questions

Questions auctioneers ask before they call.

Does it run online bidding?

It records online bids and results. Live bidding itself usually runs on a specialist platform, and how it connects is worked out in the first workshop.

Can commission and premium rates differ by sale?

Yes. Rates are set per sale, consignor or lot type, and the invoice and settlement apply whichever one is stored. Local tax treatment is reviewed during implementation.

What about the lots that do not sell?

They stay on record as unsold. They can be returned to the consignor, re-entered in the next sale at a new reserve or charged for storage.

Can we bring in our old lot history?

Yes. Your earlier consignors, registered bidders and hammer results are imported from spreadsheets, and the sale clerk reviews them ahead of the next auction.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
