A stockist carries several companies and many divisions, each with its own price to retailer, its own free-quantity offers and its own terms on which returns it will take back.

Margins are thin. What a distributor keeps depends on selling stock before it dates, claiming every return and scheme credit from the company, and collecting from chemists on the days agreed.

How the work runs today

Salesmen go out on a fixed beat each morning and book orders at chemist shops, on paper, in an ordering app or over WhatsApp. Orders reach the office by noon, are billed batch by batch, then picked, checked and loaded for the evening delivery.

Purchases arrive from the company or its C&F agent with batch numbers, expiry dates and free quantity printed on the invoice. Short-dated batches get pushed out with a scheme. Expired and broken stock comes back from chemists in cartons, is sorted by company, and waits for the company’s representative to accept it against a credit note.

Collections run beside delivery. The delivery boy brings back cheques and cash, and accounts match them against bills the next morning. Vaccines and insulin sit in the cold room with a temperature log.

Near-expiry stock is found too late

Batches close to expiry sit on the back rack until a retailer refuses them at delivery. The company may then refuse them.

Expiry claims stay open for months

Returned cartons are sorted by company and sent with a handwritten list, and the credit note follows much later, if at all. Nobody tracks which claims are open.

Scheme benefit is billed wrongly

A company runs a free-quantity offer on one product while the billing screen still carries last month’s terms. Someone absorbs the difference.

Retailer outstanding grows quietly

Salesmen book fresh orders for chemists whose old bills are long overdue, because the ledger sits in the accounts room. Bounced cheques surface later.

The wrong batch leaves the godown

The picker takes the nearest box rather than the batch on the bill, and the stock book drifts away from the rack. Recalls become hard to trace.

Can it track stock by batch and expiry?

Yes, in a system built for you. Each purchase line carries batch and expiry, and sales and returns post against the same batch. The ready ordering product on this page does not track batches on its own.

Will it keep the records our drug licence asks for?

Not on its own. It holds purchase, sale, batch and party records in one place, and reports can follow the layout your licence or auditor asks for. What those records must contain is for your adviser to confirm.

Can chemists place orders themselves?

Yes. The ordering product listed below gives each chemist a login with his rates, schemes and ledger, and his order arrives already checked against his credit limit. Salesmen can still key orders for chemists who prefer a call.

Is there a Tally link?

Not built in. A Tally import file can be added while the system is configured, priced as its own item. Many distributors keep their books where they are and use the new system for batches, returns and beats.
