Part dispatch sends what is ready and leaves the rest open on the order. Pending quantity is a figure that the firm and the dealer both read from the same record.

Recording the part load

Part dispatches are routine in distribution. The problem is that the remainder sits in somebody’s memory until a complaint brings it back. Recording it at dispatch removes that dependence, and the balance is then a line on a list that both the order desk and the dealer can open.

The challan records what went on the lorry. The rest is not cancelled or forgotten, and stays open on the order.

Pending as a figure

Ordered, dispatched and still owing are shown per line. The order desk reads the pending list when planning the next lorry.

The same number for the dealer

The dealer reads the pending quantity on their own order, so there is no argument about whether four or six cartons are due.

Closed when it is closed

The order closes when the last pending line goes out, not when the first challan is raised. Nothing disappears halfway.

Frequently asked questions

Will it find the stock for us?

No. If forty cartons are not in the godown, a pending list does not add them. It keeps the shortfall visible to the firm before the dealer raises it, which is the only change it makes.

Can a dealer cancel the pending part?

The dealer can ask, and someone at the firm closes the line with a reason. Cancellations are recorded, so the sales officer can see why a figure moved.

Is the invoice raised for the full order or for what went?

For what went. Billing is built from dispatched lines, so the invoice and the challan agree, and the balance is billed when it is sent.
