Part dispatches are not an exception in distribution. They are Tuesday. What goes wrong is not the short load, it is that the remainder lives in somebody’s memory until a complaint brings it back. Written on the order, it survives the week.

The challan records what actually went on the lorry. The rest is not cancelled and not quietly forgotten, it simply stays open.
Pending is a figure on a list
Ordered, dispatched, still owing, per line. The pending list is the first thing the order desk reads when the next lorry is being planned.
He sees the same number
The dealer reads the pending quantity on his own order. That removes the argument about whether four or six cartons are still due.
Closed when it is actually closed
The order closes when the last pending line goes out, not when the first challan is raised. Nothing disappears halfway.

Frequently asked questions
Will it find the stock for us?
No. If forty cartons are not in the godown, a pending list does not make them appear. What it does is stop the shortfall from being discovered by the dealer before it is discovered by you.
Can a dealer cancel the pending part?
He can ask, and somebody at your end closes the line with a reason. Cancellations are recorded rather than silently dropped, so the sales officer knows why his figure moved.
Is the invoice raised for the full order or for what went?
For what went. Billing is built from dispatched lines, so the invoice and the challan agree, and the balance is billed when it is sent.
