Views by Role for Wholesale and B2B Ordering

Dealers, sales officers, order desk clerks, storekeepers and accounts assistants all work on the same orders. Each role opens a view that shows only what that person acts on.

One order, five points of view

A wholesale order passes through several hands before it becomes an invoice. The dealer places it and a clerk reviews it. The storekeeper picks it and accounts bills it. In the software this is one record that each role reads from its own side, so nobody works from a copy.

What each role sees

For dealers and retailers

Their own rate, scheme, stock available, ledger and last order. Dealers order at a time that suits them.

For sales officers

The dealers on their route, who has gone quiet this month and who is on hold. They can place orders for dealers who prefer not to use a phone.

For order desk clerks

Today’s orders in one list: held, ready to pick and part dispatched. No order reaches the godown without review.

For storekeepers

The pick list for the day by order or route. They enter short quantity as it happens and raise the challan against what left.

For accounts assistants

Invoices prepared from dispatched lines, receipts, credit notes for returns and ageing that matches the ledger the dealer reads.

How the roles hand over work

  • The dealer signs in and orders from his own rate list and live stock
  • The credit check runs as the order arrives, and a held order waits for release
  • The packer ticks off cartons and records what was not on the rack
  • The challan carries what left, and billing follows the dispatched lines
  • A repeat order can be sent by the dealer or by a sales officer

Who this suits

This is built for wholesalers and distributors selling to a few hundred retailers on credit, and for manufacturers whose dealers still order by voice note and phone call. It also suits traders running retail, dealer and project rate lists, and distributors with a godown and a field team on the road.

What the client decides

Which staff hold which role, and who may release a held order, are decided by the client. Role setup is agreed during implementation. A shop selling to walk-in buyers at one printed rate is better served by our e-commerce work.

FAQ

Frequently asked questions

Can a dealer see another dealer’s rates?

No. Each login is tied to the dealer’s own territory, price list and ledger, and shows only that business.

Who can release an order held on credit?

A person the firm names. The release is saved with a name, a reason and a time.

Does a storekeeper need the order desk to enter short quantity?

No. The packer or storekeeper enters short quantity as it happens, and the order shows it as pending quantity.

Is there a separate view for the owner?

The owner reads the reports, such as orders held, pending quantity, scheme given and dealer outstanding. Which roles see which reports is agreed during implementation.
