Dealer Ledger and Statements for Distributors
Each dealer sees bills, payments and overdue amounts, the same figures the accounts team reads. Dealers download their own statement without calling the office.
One ledger for both sides
A dealer’s ledger is often questioned over the phone, with the accounts team reading out bills one at a time. Here the dealer reads the ledger directly. It is the same record the accounts team works from, so both sides start from one set of figures. A receipt entered by accounts updates the ledger the dealer reads. That is all there is to it.
What the ledger shows
Where the figures come from
- Opening outstanding is brought across from Tally or a spreadsheet
- Invoices reach the dealer on WhatsApp once billing is done
- Credit notes for returns are issued by accounts and appear in the ledger
- Ageing starts from real bills rather than a round total
What it leaves to the firm
The ledger shows the figures recorded. It does not decide who deserves credit, and the limit itself is set by the firm. Whether accounts stay in Tally, and how files pass between the two systems, is covered on the connections page and confirmed during scoping.
Frequently asked questions
Can a dealer see another dealer’s ledger?
No. The login is tied to the dealer’s own territory and ledger, and only that business is shown.
Do dealers need to call to get a statement?
No. The dealer downloads the statement from the ledger page. The accounts team can still send one on request.
Does the ledger replace Tally?
No. Accounts can stay in Tally. Orders, picking and dealer statements stay in this system.
When does a payment show in the ledger?
When accounts enters the receipt. Until then the bill stays open, so the ledger reflects what has been recorded.
