Ordering on a Dealer’s Behalf for Sales Officers

A sales officer can place an order in a dealer’s name, at that dealer’s rate. The order is saved with a note of who keyed it.

Dealers who prefer the phone

Not every dealer will log in. Some give orders by call, message or voice note, and some meet the officer on the road. The software runs beside that habit instead of replacing it. Orders are keyed by the sales officer from the same screen the dealer would use, so nothing is retyped later.

What the order carries

The dealer’s name and rate

Price list and scheme are taken from the dealer’s account. Nobody types a rate by hand.

Credit and stock on screen

Limit, outstanding and overdue show while the officer keys the order. Available stock appears beside each item.

A note of who keyed it

The record shows which officer entered it, so the dealer and the firm both see where it came from.

The same route as other orders

It goes to the order desk and then to picking, exactly as an order placed by the dealer would.

Moving dealers across

  • The officer keys orders for dealers who will not log in
  • A WhatsApp link brings willing dealers across gradually
  • Sales officers see dealers on their route, who has gone quiet and who is on hold
  • Repeat orders can be sent from the dealer’s history in a few steps

Limits on this feature

An order keyed on a dealer’s behalf is held on the credit limit like any other. The officer cannot release it unless the firm has named that officer for releases. Which officers may order for which dealers is settled in the first workshop, along with any routes they cover.

FAQ

Frequently asked questions

Is the order written at the dealer’s rate?

Yes. The officer picks the dealer, and the order uses that dealer’s price list and current scheme.

Can the dealer see who keyed the order?

Yes. The note of who entered it is saved with the order, and it can be read in the order history.

Does it bypass the credit check?

No. The same limit and hold apply. Releasing a held order is done by a person the firm has named.

Will the dealer be asked to log in later?

Only if the firm wants that. Ordering through the officer carries on alongside the login for as long as the dealer prefers.
