Rates live in a PDF, a printed sheet and three people’s memory. The counter has one version, the field team has another, and the dealer has whichever one suits him. Put every list in the same place and that argument stops being possible.

Every rate starts on a date
A new rate applies from the day you say, not from the moment somebody types it. Yesterday’s pending quotation does not go bad overnight.
The rate he ordered at
Billing is built at the rate his list held on the day the order was placed. A revision on Wednesday does not reach back into Tuesday’s order.
Loaded before the first order
Item masters, pack sizes and every list you run come across from Tally or a spreadsheet, with their dates, before a dealer sees a screen.

Frequently asked questions
Can one party have his own rate on two items only?
Yes. A list can differ from the main dealer list on as few items as you like, which is how most special arrangements actually look. The rest of his rates follow the standard list.
Does it decide what rate a party deserves?
No. Who gets the project rate and who stays on the dealer rate is your call, and it usually depends on things no software knows. What it does is stop the agreed rate from being forgotten at billing.
Will our rates stay in Tally too?
Invoices, credit notes and receipts leave as a file your accountant imports under his own ledger names. The working price lists live here, where the order desk and the dealer both need to read them.
