A register one man can read
Your storekeeper knows the answer. The order desk half knows. The dealer does not know at all, so he orders on hope and you spend Saturday explaining why the lorry left without two of his items. Putting the same figure on the order screen removes a week of phone calls from everybody’s life.
What the figure actually means
By item and by godown
Stock is held per godown. The lorry has to come from somewhere, so a dealer served from the second warehouse is not shown a quantity sitting two hundred kilometres away.
Committed quantity taken off
What is already promised to confirmed orders comes out of the available figure, so two dealers are never both shown the same last forty cartons.
Number, or just in or out
Some wholesalers would rather a dealer never saw the quantity. That is your call. Showing only in stock and out of stock is a setting, not a different build.
Counted the way you count
Cartons, bundles, pieces and metres. Your godown counts that way, under the names spoken on the phone rather than the ones printed in the catalogue.

Frequently asked questions
How accurate is the stock figure?
As accurate as what the godown enters. If cartons leave without a challan or a return is never recorded, the number drifts, and no software fixes that. The figure is honest when the picking and dispatch screens are actually used.
Can we hide stock from some dealers and show it to others?
Yes. The setting is per dealer or per kind of buyer. Project buyers often see quantities while smaller retailers see only availability.
What if he orders more than you have?
The order is taken with the shortfall visible, and the pending quantity stays open on it. That is normal in distribution, and a part dispatch closes the rest on the second trip.
