Stock beyond the godown register

Stock is otherwise a figure in a godown register that only the storekeeper reads. Dealers then order without knowing what is available, and shortages come to light only when the lorry is due. The same figure on the order screen moves that conversation earlier.

What the figure means

By item and by godown

Stock is held per godown, so a dealer served from the second warehouse is not shown a quantity sitting at another location. The lorry has to come from somewhere.

Committed quantity taken off

Quantity promised to confirmed orders is deducted from the available figure, so two dealers are not shown the same last forty cartons.

Number, or in or out

Whether a dealer sees the quantity is the firm’s decision. Showing only in stock and out of stock is a setting, not a different build.

Counted your way

Cartons, bundles, pieces and metres are supported, under the unit names the godown uses. The phone names, not the catalogue ones.

Frequently asked questions

How accurate is the stock figure?

It depends on what the godown enters. If cartons leave without a challan or a return is never recorded, the figure drifts. It holds up when the picking and dispatch screens are used. Nothing else fixes it.

Can we hide stock from some dealers and show it to others?

Yes. The setting is per dealer or per kind of buyer, so project buyers can see quantities while smaller retailers see only availability.

What if a dealer orders more than we have?

The order is taken with the shortfall visible, and the pending quantity stays open on it. A part dispatch then closes the rest on the second trip.
