Retail and distribution · Software for battery dealers

Track each battery by serial, exchange, warranty claim and garage credit account.

Battery dealers sell vehicle, inverter and solar batteries to walk-in customers, garages and electricians, and take the old battery in exchange. Billing software covers the invoice, but serial numbers, warranty cards, scrap batteries and garage dues are kept on slips. The system built for you ties these together on one record per battery.

At a glance

A battery is sold on a serial number and a date code, and it can come back months later as a warranty case. Whether the claim is accepted depends on a record the dealer must find quickly.

No standard product fits this trade closely enough. A custom system is built around your brands, exchange practice and trade accounts, starting from the serial number printed on the battery.

How the work runs today

A customer arrives with a dead battery for a car, a two-wheeler or an inverter. The counter checks the model, quotes a rate with and without the old battery, takes the old one in exchange and bills the new one. The warranty card is stamped and the serial is copied across, sometimes only on the card.

Garages and electricians buy several batteries a week on credit, so their dues build up through the month. Brand distributors supply on schemes, and some claims depend on the number of units sold by a date.

Returns come back as warranty cases. The dealer tests the battery, sends it to the brand’s service centre and waits for a replacement or a credit note. Old batteries collect in the back until a scrap buyer takes the lot.

Where it breaks

What goes wrong for battery dealers without a proper system.

Serials sit only on the warranty card

The customer loses the card, and the dealer cannot prove the sale. A claim is refused.

Old batteries are not counted

Exchange discounts are given at the counter, but the number of old batteries received, tested and sold is nobody’s figure.

Warranty cases have no owner

A battery sent to the brand’s service centre is tracked on a slip. The customer calls, and nobody knows where it is.

Garage dues build up unseen

Credit is given on a nod, and the ledger is updated at month end. Old balances are hard to recover.

Stock ages on the shelf

A battery that sits too long loses charge and warranty time. The oldest stock is not the first sold.

What the software does

What we would build for battery dealers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Battery stock by brand, model and serial

Hold stock by brand, model, capacity and type, with the serial and manufacture date code recorded when it arrives, so the counter can sell the oldest unit first.

Sale and warranty record

Link every sale to a serial and a customer, with the warranty start date and terms entered from the brand. A claim begins from the invoice instead of the card.

Old battery exchange register

Record each old battery taken in with its brand and condition, track it until it is tested, scrapped or sold, and show the exchange value allowed on the bill.

Warranty and replacement cases

Log a complaint, the test result, the date sent to the brand and the outcome, so the customer can be told where the battery is.

Garage and electrician accounts

Set a credit limit for each trade buyer, show the ledger with ageing of unpaid bills, and send a reminder on WhatsApp before dues go old.

Brand scheme and purchase tracker

Show purchases and sales against each brand’s scheme slab. Claim forms are prepared from the record. This tracker is custom work, added at set-up.

Service and charging jobs

Log battery testing, charging, home visits and installation jobs, with the technician and the customer’s address.

Solutions inside

The business modules battery dealers use most.

Each one is also available on its own, or inside a system built for you.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions battery dealers ask before they call.

Why not use the auto parts shop product?

It suits a counter selling parts by vehicle fitment. Serial-level warranty, the exchange register and brand schemes are not part of it, so a battery dealer is a custom build.

Can we keep billing in Tally?

Yes. Many dealers do. There is no live link between the two. An export for your accountant can be built, and that is quoted separately.

Will it decide whether a warranty claim is valid?

No. The brand decides that. The system keeps the sale date, serial and test notes, so the claim you send is complete and you can follow it to the answer.

Can serial numbers be entered by scanning?

Yes, if the battery label carries a barcode and the counter has a scanner. Otherwise the serial is typed, and the label type is checked during scoping.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
