Excel or Software for a Battery Dealer: Serials, Exchange and Warranty

A register or Excel works while a dealer sells few batteries and gives little credit. Software starts to pay when serial-level warranty, old battery exchange and trade accounts have to be answered quickly. Most battery dealers need a custom build, since the records are built around serial numbers rather than part numbers.

What a battery dealer has to be able to answer

A battery is sold on a serial and a date code. Months later the customer returns with a complaint and the dealer must answer three things. Was it sold here, when, and what did the brand say?

A warranty card holds those facts only while the customer keeps it. A record at the shop holds them for good.

Where Excel does well

A sheet is quick to start. One row per battery sold, with the serial, the buyer and the date, covers the first need. Filters find a serial in seconds.

It suits a small counter with one or two people entering. It also suits a dealer whose credit buyers are few and whose exchange batteries are sold on the same day.

Where Excel starts to break

Trouble shows when records have to be linked. A warranty case needs the sale row, the test result and the date sent to the brand. In a sheet these sit in three tabs.

Exchange is the next strain. An old battery taken in at the counter has a brand, a condition and a fate: tested, scrapped or sold. Nobody counts them until the back room is full.

Garage credit is the third. Ledgers kept by hand are updated at month end, and old balances are hard to recover.

What software adds, and what it does not

Software holds one record per battery from receipt to sale to complaint. It shows the oldest stock first, the exchange register and each garage’s ageing of dues. It can send a reminder on WhatsApp before a balance goes old.

It does not decide a warranty claim. The brand does. The record only makes the claim complete and shows where it is.

A ready product for auto parts exists, but it is built around vehicle fitment. Serial warranty and the exchange register would be custom work added for you.

A practical way to decide

Count three things for a month: warranty complaints, old batteries taken in, and garages on credit. If all three are small, keep the sheet and add a serial column.

If you cannot find a past sale in a minute, or the old battery count is a guess, move to software. Bring the sheet along, because stock, serials and balances load from it, and the counter checks them before go-live.

Questions owners ask

Can a dealer start with Excel and move later?

Yes. Serials, stock and balances can be loaded from a sheet. The sheet should be tidy first, with one battery per row and a serial for each.

Will software file warranty claims with the brand?

No. Claims go through the brand’s own channel. The system keeps the sale record and test notes you send, and follows the case until the answer comes back.

Is billing software enough for a battery dealer?

Not on its own. Billing handles the invoice, but serial-level warranty, the exchange register and trade credit need separate records, built or added alongside it.
