How the work runs today

A purchase engineer at an EMS company emails a BOM of two hundred lines with quantities for a build. The sales team matches each MPN to stock, marks what is short, finds an approved alternative where the customer allows one, and asks suppliers for lead time on the rest.

Stock sits in bins by part number, and a reel may be split for a small order and returned as cut tape. Customers ask for a recent date code, a certificate of conformance and the lot number, so stores records all three as material is received.

Import orders are placed in dollars. Landed cost decides the selling rate.

Each line of a customer’s Excel is searched one by one, and a wrong suffix on an MPN slips through. The wrong part ships.

Date codes are not recorded at receipt

Old and new stock of one part sit in the same bin, and a customer who asked for a recent date code receives the older reel. The lot comes back.

Split reels lose their count

A reel opened for a sample is put back without updating the balance, so the system shows a full reel. The next order runs short.

Partly. Exact and near matches are shown, and the desk confirms each suggested match. A line that cannot be matched is flagged, not guessed.

Can it check stock and prices on supplier websites?

Not on its own. Where a supplier offers an API for stock and pricing, a link can be scoped during implementation. Other suppliers are checked by your buyers as now.

Can customers see our stock online?

Yes, where you choose to. A web catalogue with search by MPN can show stock in hand, and the rate shown can depend on whether the buyer is signed in.

Will it link to Tally?

Not built in. A Tally export is something we can add while the system is being implemented, and it carries its own quote. The entries follow your accountant’s ledger names.
