Retail and distribution · Software for industrial tools distributors

Quote factory enquiries, supply against purchase orders and follow every bill to payment.

Industrial tools distributors supply power tools, cutting tools, abrasives, measuring instruments and safety items to factories, workshops and hardware dealers. Enquiries arrive as email lists, orders arrive as purchase orders, and payment follows bill submission weeks later. The software keeps the item master, quotations, PO-wise supply, tool repairs and brand targets in one place, so the counter, the sales engineer and accounts read the same record.

At a glance

A tools distributor sells two ways at once. Hardware dealers and fabricators buy at the counter, while factory purchase departments send enquiries, compare three quotations and then issue a purchase order with its own terms.

Manage the item master, quotations, purchase orders, part supplies, repairs and collections from one system. Each brand, customer and sales engineer keeps its own history.

How the work runs today

A maintenance engineer or purchase executive emails a list: carbide inserts by grade, a set of HSS drills, two angle grinders, cutting wheels by the box and a vernier caliper. The sales desk finds each item across brands, checks stock in the godown, offers an alternative where a brand is short, and sends a quotation with delivery terms.

When the PO arrives, the desk matches it to the quotation and supplies what is ready, often in two or three lots against the same PO number. Each challan goes back signed or with a GRN, and the invoice is submitted to accounts payable.

Power tools come back for repair. Brands revise price lists and set quarterly targets.

Where it breaks

What goes wrong for industrial tools distributors without a proper system.

Quotations are rebuilt from scratch

A repeat enquiry from the same factory is priced again by hand, at a different rate from last time. The buyer notices the difference.

Pending PO quantities are lost

Part of a purchase order is supplied and the balance stays in somebody’s notebook until the factory chases it. Then it is urgent.

Bills wait on missing GRNs

An invoice reaches the factory without the PO number or GRN reference, and accounts payable holds it. The payment date moves again.

Repairs sit without a status

A drill sent to the brand’s service centre has no record of when it went or what the customer was told. The customer calls the owner.

Brand targets are checked too late

Purchases against each brand’s quarterly slab are added up in a sheet a week before the quarter ends. The slab is missed by little.

What the software does

What we would build for industrial tools distributors.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Item master across brands

Search by brand, catalogue number, size, grade or the short name your counter uses, with equivalent items from other brands linked so the desk can offer a substitute.

Enquiries and quotations

Turn an emailed list into a quotation line by line, with the last rate given to that customer shown beside each item. Revisions keep their own number.

Customer purchase orders and part supply

Record the factory’s PO against the quotation, supply in lots, and keep the balance quantity open on a pending list.

Bill submission and collections

Print invoices with the PO number and GRN reference, record when each was submitted, and list bills by due date for follow-up.

Tool repair register

Log each tool received for repair with serial number, fault, warranty status and the date it went to the service centre. The customer can be updated on WhatsApp.

Brand price lists and targets

Load each brand’s revised list with the date it applies from, and show purchases against the quarterly target slab before the last weeks of the quarter.

Counter and dealer billing

Bill walk-in fabricators and hardware dealers at their own rate, with credit limits and outstanding visible before the bill is saved.

Common questions

Questions industrial tools distributors ask before they call.

Can hardware dealers order from us on their phones?

Yes. Our wholesale ordering product gives each dealer a login with his own price list, live stock and ledger. Factory purchase departments usually keep sending POs by email, and those are entered at the desk.

Can it upload our quotations to a factory’s vendor portal?

No. The quotation is prepared and printed here, and your team uploads it to the buyer’s portal as they do today. The record of what was quoted stays with you.

Will it link to Tally?

Not built in. We can add a Tally export as part of implementation, priced as a separate item. Your accountant decides which ledgers the entries should land in.

Can calibration certificates be kept with measuring instruments?

Yes. A certificate can be attached to the serial number when it is sold, and printed again when the customer asks. Calibration itself is done by your lab or the brand.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
