Quote a customer’s parts list, track reels by date code, cost imports and keep delivery schedules.

Hold part masters, customer bills of materials (BOMs), quotations, stock by date code and lot, supplier orders, landed cost and scheduled dispatches together. Each part keeps its manufacturer part number (MPN), packing and certificates from the day it is ordered to the day a reel leaves. The sales desk and the stores read the same balance. Buyers at assembly lines get an answer for every line.

  • Part master, alternates and customer part codes keyed in from your spreadsheets
  • Open stock, supplier orders and unpaid invoices carried across
  • Tax, currency and unit settings reviewed with your accountant during setup

Distributors of ICs, passives, connectors and modules run BOM quotations, stock by date code, supplier orders and customer schedules on Electronic Components Distributor Management Software, which GullySystem configures for the counter. Each part keeps its MPN, packing, lot and certificate of conformance. Split reels return to stock as cut tape with a correct count. Landed cost feeds the rate.

Where it breaks today

What goes wrong before the software.

BOM lines are matched one by one

A buyer emails an Excel of two hundred lines, and someone searches each one by hand in the stock list. A wrong suffix on an MPN passes unnoticed. The part that ships does not fit the board. Mistakes cost a board.

Date codes mix inside one bin

Old and recent reels of the same part sit together because receipt did not record the code. A buyer who asked for a recent date code finds out at incoming inspection. The buyer rejects the lot.

Opened reels lose their balance

A reel is unwound for a sample order and returned as cut tape, yet the balance still reads a full reel. The next order is promised and cannot be filled. The customer waits for a reel that was never there.

Which supplier order covers which requirement is unclear

Franchise and broker orders are tracked in the mailbox of the buyer who placed them. A colleague asked about a delivery date has nothing to open. Nobody else can answer.

Landed cost is worked out outside the quote

Freight, duty and bank charges on an import order are added in a separate sheet, so the selling rate on a quotation does not move when the shipment cost does. The margin moves unseen.

Certificates are filed away from the lot

A certificate of conformance arrives in an email and is saved in a folder. When a customer’s quality team asks for it, nobody can tie it to the lot shipped. Finding it means a hunt through mailboxes.

How it runs

How the work flows through it, step by step.

  1. 1

    BOM received

The buyer’s file is imported and each line is matched to the part master by MPN. Unmatched lines, end-of-life parts and customer part codes are flagged for the sales desk to resolve. Nothing is guessed.

  2. 2

    Quotation

Each line shows stock in hand, supplier lead time and a rate from your price list or the last landed cost. Approved alternates are offered where the customer allows them.

  3. 3

    Purchase order and schedule

The customer’s order is recorded with delivery schedules by month. Lines with no stock are linked to a supplier order raised on a franchise line or a broker. Gaps are visible.

  4. 4

    Import order and receipt

The shipment is tracked from the supplier’s invoice to arrival. Stores records date code, lot, packing and quantity per reel, and the certificate is attached to the lot. Each reel is counted.

  5. 5

    Pick and dispatch

The picker is told which date code to take. A reel may be split, and the remainder goes back as cut tape. The dispatch label carries the lot and date code. Labels print on the spot.

  6. 6

    Invoice and collection

The tax invoice is raised at dispatch in the buyer’s currency and under the tax rules of the destination country. Dues are listed by buyer, oldest first, for the collections desk. A buyer on credit hold is flagged before dispatch.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Part master by MPN

Hold manufacturer, MPN, package, packing type, standard pack and moisture sensitivity level for each part, with end-of-life notes and the alternates a customer has approved. End-of-life parts show a warning.

Customer part codes

Map a buyer’s internal part number to your MPN, so a repeat BOM from the same assembly line matches in one pass instead of being searched again.

BOM import and quotation

Upload a customer’s Excel, match lines, and see which are short or unmatched. The quotation carries stock, lead time and rate per line, and every revision stays on file.

Stock by date code, lot and reel

Receive with date code, lot and packing, keep reels, cut tape, trays and tubes apart, and pick the code the buyer asked for. Split reels update the balance at once. The balance matches the shelf.

Bin locations and counts

Assign each reel to a bin or a dry cabinet, record cycle counts by bin, and show the variance between the count and the book balance for the stores head.

Supplier orders and franchise lines

Raise orders on franchise suppliers and brokers, link each to the customer requirement it covers, and see confirmed dates against the date promised to the buyer.

Import costing

Add freight, duty, insurance and bank charges to a shipment and spread them across its lines, so the landed cost per piece is on hand when a rate is quoted.

Customer schedules and call-offs

Record a blanket order with monthly delivery schedules, dispatch in lots against it, and see the quantity still open on each line. Late lots stand out.

Certificates and traceability

Attach the certificate of conformance and the supplier’s invoice to the lot received. Search a date code to list every customer who was sent that lot. Each name comes straight from the dispatch entries for that lot.

Returns and quality holds

Put a lot on hold after a failed incoming inspection, record a customer return with its reason, and raise the claim on the supplier from the same entry. Claims stay linked.

Invoices, receipts and dues

Raise tax invoices in the buyer’s currency, post receipts, and see each buyer’s dues listed oldest first. Credit limits are checked when an order is entered.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Quote & Proposal Management

Each BOM line becomes a quoted line with stock, supplier lead time and rate, and a revised file keeps the earlier version on record.

  • Batch and Serial Tracking

Every reel received is numbered with its lot and date code, so a pick follows the code the buyer wrote on the order.

  • Stock Tracking and Alerts

Movements by bin raise a flag when a part falls under its reorder level or a count differs from the book balance.

  • Purchase Order Management

Orders on franchise suppliers and brokers carry the customer requirement they cover, so a buyer can answer which delivery date applies to which build.

  • Multi-Currency Support

Supplier invoices stay in their own currency while landed cost and selling rates are converted using the rate your accountant sets for the day.

  • Order Management

A blanket order holds monthly schedules, and each dispatch lot reduces the open quantity on its line until the order closes.

  • Goods Receipt (GRN)

Receipt records what the delivery note claimed against what was counted, and the certificate of conformance is attached to the lot then.

  • Credit Limits and Control

A buyer’s limit and payment term are checked when an order is entered, and an overdue invoice puts a hold on the next dispatch.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For the sales desk

Import BOMs, resolve unmatched lines and send quotations. See stock, lead time and the customer’s approved alternates beside each line.

For buyers and procurement

Place orders on franchise suppliers and brokers, tie each to a customer requirement, and track shipments to arrival.

For stores

Receive reels with date code and lot, split and return cut tape, and pick to the code the order names.

For the quality desk

Hold a lot after inspection, attach certificates, and trace a date code to the customers it went to.

For owners and accounts

See margin by customer, landed cost against selling rate, stock value by supplier line and dues by buyer.

Reports

The numbers the owner asks for.

  • BOMs quoted, won and lost, by customer
  • Stock by MPN, date code and lot, with age in the bin
  • Lines short of stock, with the supplier order covering each
  • Landed cost per part against the rate quoted
  • Open schedule quantity by customer and month
  • Lots dispatched per date code, for trace requests
  • Dues by buyer, oldest invoice first
Good fit

Who this is built for.

  • Franchise distributors of ICs, passives and connectors to assembly lines
  • Independent distributors who source from brokers and stock excess inventory
  • Component suppliers to repair shops, labs and prototype buyers
  • Distributors who sell modules, sensors and development boards online and to OEMs
  • Import houses that hold reels and cut tape for contract manufacturers
Honest answer

When it is not the right choice.

  • A hobby shop that sells a few kits over a counter can run on a simple billing tool.
  • A contract assembler that builds boards will find Electronic Manufacturing Services Provider Management Software closer, and a high street electronics shop will prefer Electronics Retail Management Software.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your part master and packing

Makers, package types, standard pack quantities and your own part families are keyed in from your sheets, mirroring how your desk searches today.

Quotation and pricing rules

Rate lists, margin rules, minimum order values and quotation validity follow the way your desk prices a BOM today.

Stock and traceability rules

Which fields are mandatory at receipt, such as date code, lot and certificate, and how a hold is released, are agreed with your stores and quality heads.

Currency, tax and customs settings

Exchange rates, duty heads and tax invoice formats vary by country. Your accountant checks each one as it is configured.

Online catalogue and messaging

Signed-in buyers can search the catalogue by MPN and see stock. Each order status change goes to the buyer as a message in the channel they open most.

Common questions

Questions owners ask before a demo.

Can it match a BOM when the part numbers are written differently?

Partly. Exact and near matches are suggested, and the desk confirms each one. A line with no credible match is flagged and never guessed.

Does it keep date codes for every reel?

Yes. A date code, lot and packing are recorded at receipt and travel with the reel through splits, picks and dispatch. Nothing is typed twice.

What happens when a reel is split for a small order?

The picker records the quantity drawn. The remainder returns to its bin as cut tape with its own count, and the original lot stays linked.

Can we see which customers received a given lot?

Yes. Search by date code or lot and the dispatches, invoices and buyers that took it are listed, along with the certificate on file. Every line traces back to a dispatch note.

How is landed cost worked out?

Freight, duty, insurance and bank charges are entered on the shipment and spread across its lines. Your accountant reviews the allocation method during setup.

Does an existing Excel BOM quote move across?

Yes. Your past quotation sheets and part lists are mapped to the part master, and the mapping is checked by your sales head before anything is loaded.

Does it handle blanket orders with monthly schedules?

Yes. The order is recorded once, deliveries are scheduled by month, and each dispatch reduces the open quantity on that line.

Will buyers see our stock online?

Only if you choose. A catalogue can show stock in hand by MPN, and the rate shown may depend on whether the buyer has signed in. It is your choice.

What happens before we commit?

We walk your sales and stores heads through a sample BOM from import to dispatch. A written proposal then lists what your part master and stock load will need.

Who answers when something looks wrong in the stock?

Our staff look at the movement log of the part with your stores head. Every receipt, split, pick and adjustment is dated and carries a user name.
