Retail and distribution · Software for medical equipment dealers

Keep every installed machine’s serial, warranty, CMC and service history on one record.

Medical equipment dealers sell patient monitors, ventilators, ultrasound machines, OT lights and lab analysers to hospitals and clinics, then service them for years. Quotations, tenders, demo units, installation reports, AMC and CMC visits and spare parts usually live in email, Excel and the engineer’s phone. The system keeps each installed machine on one record, from the quotation through installation, warranty, contract renewals and every breakdown call.

At a glance

Most dealers represent a few principals, sell into private hospitals, diagnostic centres and nursing homes, and bid on government tenders when the specification fits their range.

The sale is one event. The installed base is the business, because warranty, CMC renewals, preventive maintenance and spare parts are what keep a hospital returning and the service engineers occupied.

How the work runs today

Sales executives call on biomedical engineers, purchase managers and doctors, arrange demos, and send quotations built from the principal’s price list with the dealer’s margin worked in. Tender files need compliance sheets, past purchase orders and installation certificates, which someone digs out of old folders for every bid.

Once the order is placed, the machine arrives from the principal, is installed, and is handed over with an installation report the hospital signs. Warranty starts that day. Few dealers record it anywhere searchable.

Service engineers attend breakdown calls and preventive maintenance visits, carry spares in a bag, and write service reports by hand. Calibration certificates, loaner units and spares pending with the principal are chased over WhatsApp.

Where it breaks

What goes wrong for medical equipment dealers without a proper system.

Warranty and CMC dates cannot be found

The installation date sits on a paper report, so nobody knows when warranty ends or when to quote a CMC. The renewal goes to a competitor.

Preventive maintenance visits slip

Visits due under a contract are tracked in an engineer’s diary, and a missed one turns up when the hospital checks its equipment file. Payment is then held.

Spares and loaner units go missing

A spare taken for one call is fitted at another site, and a demo unit stays at a hospital long after the trial. Stock records stop matching.

Tender papers are rebuilt every time

Compliance sheets, past orders and user lists are searched again for each bid, by whoever happens to be free. The deadline does not wait.

Service income is not visible

Contract fees, chargeable calls and spare sales are entered in different books. Profit by machine stays unknown.

What the software does

What we would build for medical equipment dealers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Installed base register

Hold every machine by hospital, department, model and serial, with installation date, warranty end and the principal it came from.

Quotations, demos and tender files

Build quotations from the principal’s price list, track demo units out at sites, and keep compliance sheets and past orders ready for the next tender.

Warranty, AMC and CMC contracts

Record contract type, value, visits due and expiry for each machine. Sales sees a reminder well before a warranty or contract ends.

Breakdown calls and engineer app

Log a breakdown, assign an engineer, and capture the fault, parts used, photographs and the hospital’s sign-off on a service report from the engineer’s phone.

Preventive maintenance and calibration schedule

Plan PM and calibration visits by contract, show what each engineer has due this month, and keep every completed report and certificate against the machine.

Spares, loaners and principal orders

Track spares by engineer and godown, loaner units by site, and spares pending with the principal, including faulty parts sent back for replacement.

Service profit by contract

Bring contract fees, chargeable calls and spare sales together by machine and hospital. The owner sees which contracts pay.

Solutions inside

The business modules medical equipment dealers use most.

Each one is also available on its own, or inside a system built for you.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions medical equipment dealers ask before they call.

Can it hold calibration certificates and service reports?

Yes. Certificates, signed installation reports and service reports are attached to the machine record. Whether a document meets a hospital’s or assessor’s requirement is for them to decide.

Will it prepare our tender bids?

Not on its own. It keeps compliance sheets, past purchase orders and installation certificates ready to attach. Each bid is still prepared and filed by your team on the buyer’s own portal.

Is a packaged product available for medical equipment dealers?

Not today. The system would be built around your principals, contracts and engineers, drawing on our service and AMC work for other trades. A free technology audit comes first.

Will service and sales figures reach Tally?

Not built in. An export for Tally can be arranged when the system goes in, with its own quote once your accountant names the ledgers.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
