Retail and distribution · Software for uPS and power backup dealers

Record every installation with its serials and warranty, and renew every AMC on time.

UPS, inverter and generator dealers keep customers through battery banks, AMCs and breakdown calls, yet warranty dates, serial numbers and visits sit in registers and chat threads. Batteries wear out and warranties lapse. The system records each installation with its serials and warranty, raises renewals as contracts end, and puts breakdown calls on the right technician’s phone.

At a glance

Selling an inverter is one visit, but looking after it means replacing the tubular battery bank every few years and servicing the diesel generator (DG) set every quarter. That is where loyalty and margin live.

Every installation stays on record, so a renewal call or a battery replacement offer reaches the customer before the shop down the road does. Follow-up stops depending on memory.

How the work runs today

A home or an office asks for backup. Your engineer surveys the connected load, suggests a kVA or VA rating and sizes a tubular or SMF battery bank in Ah before a quotation goes out on WhatsApp. After the sale a crew installs and commissions the unit, fits the earthing and notes battery serial numbers on the job slip. The warranty card goes missing within weeks.

Then the service side takes over. Breakdown calls arrive by phone at all hours, and a technician sets out with whatever spares happen to be in the van, perhaps a fuse or an MCB.

DG sets and online UPS units under an annual maintenance contract (AMC) need quarterly preventive visits with a signed service report covering oil level, coolant, battery voltage and load test. A battery warranty claim needs the purchase date and the serial, which means hunting through old invoices on a Sunday. The search eats an hour.

Where it breaks

What goes wrong for uPS and power backup dealers without a proper system.

The battery warranty cannot be proved

The serial number was jotted on a job slip, and the manufacturer wants it beside the invoice date before it will replace a swollen cell. Neither paper can be found.

AMCs lapse without anyone noticing

Renewal dates live in a diary, and the customer finds out the contract ended only when the inverter trips and a breakdown call comes in. The visit turns into a dispute.

The technician goes without the right spare

Nobody recorded the inverter model or the battery type at that address, so the technician arrives without the right charger card and a second visit is needed. Nobody gets paid for that trip.

Old customers do not return for batteries

A battery bank sold four years ago is due for replacement, and the customer buys from whichever dealer calls first, since yours has no list of who is due. That sale walks out quietly.

What the software does

What we would build for uPS and power backup dealers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Load survey and quotation

Record the load surveyed, the VA or kVA rating suggested and the battery bank sized in Ah, with each quotation revision kept against the enquiry.

Installation register

Hold customer, site, unit model, rating, battery make and serial numbers, and commissioning date against every inverter, UPS or DG set you sell.

Warranty lookup

Search by battery serial or phone number and see the invoice, warranty period and earlier claims together, ready to quote to the manufacturer.

AMC contracts and renewals

Record contract value, the preventive visits promised and the expiry date, with a due list of visits and a renewal invoice raised as the contract ends.

Service calls and technician app

Log a breakdown against the site, assign a technician, and close the call with the fault found, the part changed and the load reading noted.

Battery replacement alerts

List installations whose battery banks are reaching replacement age, ready for a phone call or a WhatsApp offer, built around the installation register during implementation.

Common questions

Questions uPS and power backup dealers ask before they call.

Does it connect with accounting software for invoices?

No, there is no built-in link today. Sales and AMC invoices are raised inside GullySystem and linked to the installation, and an export file for your accountant can be made at a separate quote.

Can we monitor generators or UPS units remotely?

Where the unit has a communication port or a controller, alarms and run hours can be read, which suits DG and online UPS sites more than a home inverter. Monitoring is separate quoted work.

Is there a ready product, or is this written from scratch?

There is a base to start from. The system built for CCTV installers already holds device serials, AMC visit schedules, warranty claims, technician jobs and van stock. Ratings, battery types, replacement lists and the service report are then built around that base for power backup, as part of the implementation.

Can customers book a service themselves?

Not in the standard product. A WhatsApp number or a short web form can be built during implementation, so each request opens a service call that your team assigns.

How is a backup power dealer’s system priced?

Branches and technicians, the headcount in sales, service and accounts, and the question of AMC renewals, warranty lookup and the technician app being in the initial build all set the scope. A WhatsApp or accounts link adds work. Each part is then quoted on its own line.

What does a UPS and inverter dealer need ready first?

Keep installation job slips with battery serials, warranty cards, AMC contract copies, service reports and a load survey sheet at hand. A service manager, a sales lead and a technician can try screens.

If the dealer leaves the system, are serials and AMC records still its own?

Yes. Software, serials and AMC records remain with the dealer. Installations, warranties, contracts and service calls can be exported as ordinary spreadsheets when requested. The original developers provide support. Hosting is with GullySystem, with another option available.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
