What a UPS and Inverter Dealer Should Track Every Month

Track six things each month. Watch AMCs expiring soon, preventive visits due and done, and open breakdown calls by age. Add batteries nearing replacement, pending warranty claims and unpaid dues. AMC renewals and preventive visits

Start with contracts ending in the next two months. A customer who learns his AMC lapsed only when the inverter fails is a customer at risk. Renewal is easier to raise before that call comes.

Then compare visits due with visits done. Online UPS units and DG sets under contract carry preventive visits on the schedule you agreed. A signed service report should exist for every visit marked done.

Breakdown calls and repeat visits

Count calls opened, calls closed and calls still open by age. Age matters more than the total. Repeat visits to one site point to a missing spare or a wrong diagnosis.

Most second trips happen because nobody recorded the model or battery type at that address. Once the installation record holds it, the technician packs the right spare.

Batteries reaching replacement age

A battery bank sold years ago will need replacing. The dealer who calls first usually gets the order. For that, every installation needs its battery make, type, serial and install date on record.

Set a replacement age for each battery type you sell, based on the maker’s guidance and your field experience, and list the installations crossing it each month. That is your call sheet.

Warranty claims and serial numbers

A battery warranty claim needs the serial and the invoice date. When both sit on the installation record, a claim starts from a search, not a hunt through old bills.

Count claims raised, claims pending with the maker or distributor, and replacements still to reach the site. A unit sent back should be recorded too.

Van stock, dues and one monthly page

Spares and batteries go out in the van and do not always come back counted. Check what each van holds against what jobs used. Unpaid balances on sales and contract renewals finish the page.

Read it monthly. Patterns across three months tell you more than any single figure.

Questions owners ask

Can the software monitor a UPS or generator remotely?

Not on its own. Where a unit has a communication port or a controller, alarms and run hours can be read as separate work. That suits large DG and online UPS sites, not a home inverter.

Is there a product made for power backup dealers?

Not under that name. The CCTV installer system already holds device serials, AMC visit schedules, warranty claims and technician jobs. Ratings, battery types and the service report are changed for power backup.

Does it link to Tally?

Not built in. A Tally export is priced separately, and your accountant’s ledger heads decide its shape.

Does a small dealer need software for this?

Possibly not yet. If installations are few and nothing runs on AMC, a notebook read monthly may do.
