Software Solutions for Paint and Painting Supply Sellers
Paint is sold by shade, finish, base and pack, then mixed to order, and much of it goes to contractors on account. Dealers and online sellers need shade records, quantity estimates, batch control, delivery to site and one stock record shared with the counter.
Take paint orders online without losing shade, batch or contractor detail.
A paint order depends on a colour that does not exist yet. Shade code, base and pack size define the tin, and a tinted tin has no second buyer.
Dealers, depots and online stores sell to homeowners, painters and builders, and the contractors’ orders are repeated site after site.
Dealers with a tinting counter
A dealer mixes each tin after the order and serves walk-in buyers, painters and contractors from one godown.
Depot and distributor sellers
A seller supplies dealers with factory ranges against orders, credit limits and company schemes.
Online paint stores
A store sells paint and tools to homeowners and ships from a partner dealer or depot.
Specialist sellers
A seller focuses on wood finishes or waterproofing and advises on the system, not just the pack.
The workflow for paints & painting supplies.
- 1
Listing by shade, finish and pack
Each paint is recorded by brand, finish, base and pack. Shade codes and charts are held beside the product.
- 2
Estimating quantity
Area, coats and product give litres and pack suggestions. Primer, putty and tools are offered with the estimate. The figures behind it are stored for later.
- 3
Tinting to order
A paid order becomes a tinting job holding code, base and pack. Stock reduces when the job is marked done.
- 4
Batch-aware packing
Large orders for one building are packed from one batch where stock allows, and batch numbers are recorded.
- 5
Delivery to site
Heavy tins ship in loads with challans. Site, receiver and photographs are noted. Nobody has to ask later.
- 6
Returns, leakage and schemes
Leaks and damage are claimed against the load. Qualifying purchases are tagged for any company scheme the seller follows.
The challenges, and what they cost.
What is specific to this trade.
These are requirements we would confirm in discovery. They describe what the solution may need to handle. They are not features that already exist.
- Shade code, base, finish and pack held as fields, not as words in a title
- An estimator that shows its assumptions and lists the sundries to buy with it
- Tint-to-order jobs, and a clear policy for mixed packs
- Batch numbers and reservation of one batch for one site
- Contractor accounts by site, with credit limits and scheme tagging
- How a mixed or leaking tin is claimed and settled
What we would build for paints & painting supplies.
Chosen from the commerce capabilities this business needs, not a list of everything.
Who works in the system, and what each can do.
What it would connect to.
An integration is confirmed only after its API, access and scope are checked. A connection that updates on a schedule is described as scheduled, not real-time.
- GullySystem’s Paint Dealer Management Software for counter stock, tinting jobs and rate slabs
- Company depot or distributor data, through an export, since a direct feed depends on the company
- Payment gateways for retail checkout and statements for contractors
- Transport and courier services for heavy tins, added one carrier at a time
- WhatsApp for order and delivery messages, if a WhatsApp business account is in place

- Your shade charts and your tinting practice
- Contractor accounts, rate slabs and schemes you follow
Follow one tin
We trace a single tin from enquiry to site, and set the online flow to match the counter.
Set the estimator rules
Coverage and coat assumptions are written down and checked against past jobs.
Begin with one brand
One brand opens online first, so stock and tinting jobs can be checked against the counter.
What you receive.
- Catalogue structure for shade, base, finish and pack
- Estimator rules and checkout terms
- Tinting job and delivery flows
- Staff handover and training sessions
How progress is judged.
Measures are agreed against your own baseline. We do not promise a result in advance.

- Estimates against actual litres used
- Claims raised for leakage and shortage

Selling in a shop as well?
Questions about paints & painting supplies e-commerce.
Does it replace our dealer software?
No. With GullySystem’s Paint Dealer Management Software, the store is built to read its stock and rate slabs. With other software, the link is planned from what it can export.
Will the store drive the tinting machine?
No. The machine runs its manufacturer’s software. An online order creates the job here, and any link to the machine is examined before it is offered.
Can the site promise how a colour will look?
No. It shows the shade code and a sample note. The wall, the light and the application all affect the result.
Can company schemes be tracked?
Qualifying purchases can be tagged, and claims followed. What a company allows is for the company to decide.
