Health and wellness · Software for assisted and senior living communities

Run residents, care plans, staff rounds and family billing from one record.

An assisted or senior living community looks after people for years, not days. Each resident has a room, a care plan, medicines, texture-modified meals, visitors and a family that pays. The management software for senior living communities holds move-in, daily care tasks, staff shifts, activities, incidents and monthly billing together, so teams work from the same page.

At a glance

A resident moves in with a history of needs, a list of medicines and a family who want regular news, and from that day every team depends on the same facts. Care assistants, nurses, kitchen teams and administrators all serve that one person, often across three shifts, a memory care wing and several floors.

The software for assisted living keeps the resident at the centre. The care plan, the room, the invoice and the visitor list belong to one profile. Staff change at every handover. The record stays. Families, nurses and administrators all read the same facts about the same person, whichever shift or floor they work on, and none of them has to ask a colleague what was said.

How the work runs today

Enquiries from families are logged, tours are booked and an assessment decides the level of care and the room. On move-in day the admissions team records the resident agreement, the deposit, emergency contacts, allergies and the medicines the resident brings. Care staff then work from a daily task list for each person. The list spans dressing help, continence care, meals, hoist transfers, medication rounds and the handover note at shift end.

Nurses review changes in health, update the plan, note the fall risk score and set the date of the next review so that no resident goes past a check that was promised. Reviews are dated. Activities staff plan the week, and the kitchen follows each diet from pureed to diabetic. Incidents such as falls are written up and followed. Each gets an owner. Finance staff send one monthly bill that combines rent, care level, meals and extras, and families ask questions about every line.

Where it breaks

What goes wrong for assisted and senior living communities without a proper system.

Care plans sit apart from daily tasks

The plan is written in a file and the shift works from a whiteboard by the nurses’ station. When needs change, one is updated. The other is not, and carers act on the old version.

Handover depends on memory

Night staff pass on what they remember to the morning team. Small changes, such as a poor appetite, a new bruise or a call bell pressed twice, can be lost between the two shifts.

Medication records are kept on paper

Medication administration charts are filled by hand at each round, so checking a missed or refused dose later means finding the right sheet among many filed for the month. PRN doses are the hardest.

Billing mixes rent, care and extras

A move from residential to nursing care level mid-month alters the bill, and a respite stay or an extra hairdresser visit adds another line. Calculated by hand, the figure is hard to explain to a family.

Families lack a clear view

Relatives call for news about a fall, a GP visit or last month’s invoice. Staff stop caring tasks to look things up, and the daughter who pays hears something different from the son who visits.

What the software does

What we would build for assisted and senior living communities.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Enquiries, tours and move-in

Track family enquiries and tour bookings, record the assessment and resident agreement, and move a person from prospect to resident with a move-in checklist covering deposit, room, keys and first medicines.

Resident profiles and care plans

Keep needs, diet, allergies, mobility aids, contacts and the care plan on one profile, with review dates that prompt the nurse and a fall risk score beside the photo.

Daily care tasks and shift notes

Every shift has a task list for each resident, and carers tick items off on a handheld device while the incoming team reads the handover notes first. Skipped tasks stay visible to the senior carer.

Medication schedule

Record each prescription, dose and time, mark each round as given, refused or missed on the medication administration record, and flag stock running low. Clinical rules are set with your nursing lead.

Rooms and occupancy

See which rooms, memory care beds and units are occupied, reserved or being prepared, with the care level and rate attached, and plan respite stays against short vacancies.

Staff rosters

Plan shifts by floor and role, from night carers to nurses and kitchen staff, record attendance and cover for absence, and link training and registration dates to each person.

Billing and family statements

Raise monthly invoices from rent, care level, meals and extras, apply part-month changes, and share statements with the paying family. Deposits and personal allowance spending are shown apart.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions assisted and senior living communities ask before they call.

Can care staff use it from a handheld device?

Yes. Staff open their own task list in a browser, tick tasks off and add notes. It needs a connection, so Wi-Fi coverage in every corridor and room is checked during planning.

Does it replace clinical or medical record software?

No. It holds daily care, medicine schedules, fall records and incidents for the community. Where a clinical system already exists, the first workshop decides how the two connect.

Can several family members receive updates?

Yes. Each resident can have a list of contacts, with one marked as the person who pays and another as next of kin. Which messages each contact receives is set during implementation.

How is resident privacy handled?

Access is by role, so a kitchen user sees diets and texture levels but not health notes. Retention and consent rules for your country are reviewed with you before staff log in.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
