GullySystem
Health and wellness · Software for counsellors and psychotherapists

I keep session notes in a locked notebook because I don’t trust where else they would go.

Counsellors and psychotherapists run their practice on a calendar, notes in a notebook or Word file, video links and UPI fees chased on WhatsApp. GullySystem builds small, private practice software for bookings, notes and fees, with clear rules on who sees what. The free technology audit explains where your data would live.

At a glance

Most of your work is weekly sessions with the same clients, some in person, some online, some for couples or families. The admin around them is small but relentless.

Your first question about software should be about privacy, and so is ours.

How the work runs today

A client reaches you through a referral, a psychiatrist or your website. You exchange a few messages, share an intake form and consent note, and fix the first session. Online clients get a meeting link; in-person clients get directions.

After each session you write notes, by hand or in a file on your laptop, and fix the next appointment. Payment comes by UPI, sometimes late, and you remind gently.

If you run a group practice, associates keep their own calendars and notes. Supervision and referrals mean passing on information carefully, often in a way that is not recorded anywhere.

Where it breaks

What goes wrong for counsellors and psychotherapists without a proper system.

Notes are scattered and hard to protect

Some are in a notebook, some in Word files on a laptop without a password, and some in an email to yourself.

No-shows and late cancellations cost me

Without reminders or a clear cancellation record, empty slots and awkward fee conversations follow.

Payment follow-ups feel uncomfortable

Chasing a client for last month’s fees on WhatsApp mixes the therapeutic relationship with money.

A group practice has no shared view

You can’t see associates’ availability or caseload without asking each one, and referrals get lost.

What the software does

What we would build for counsellors and psychotherapists.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Private session notes

Notes visible only to the therapist who wrote them unless shared on purpose, with every access logged.

Booking with reminders

Clients book from your available slots, get a reminder and a meeting link, and cancellations are recorded against your policy.

Intake and consent forms

Forms filled online and stored with the client record, with the date consent was given.

Fees and receipts

Session fees, UPI payments and receipts sent automatically, so you rarely have to ask.

Practice calendar for associates

The practice owner sees availability and caseload, not clinical notes.

How it works

How the work runs from Bengaluru for your city.

  1. 01

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 02

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 03

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 04

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 05

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions counsellors and psychotherapists ask before they call.

Where would my clients’ notes be stored?

On a server in India under your own account, encrypted, with access only for logins you approve. We explain the set-up in writing before anything is built, and we don’t claim any certification we don’t hold.

Can fee receipts go into Tally?

Yes. Session receipts can post to Tally or be exported for your CA, without any clinical detail.

Should I use a ready therapy practice app?

For a solo practice, a ready app with good privacy terms may be the simplest option. Read where it stores data. We are useful for group practices or when you want the data fully under your control.

Does your team ever see our notes?

Not in normal use. Support access is agreed with you in writing and logged, and in the free technology audit we work from a demo or screenshots, not real client data.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
