Doctors, therapists and the front desk share one patient record. It holds consultations, treatment plans, session packages, consent forms and the before and after photos. Billing counts each session off the package sold.

What goes wrong before the software.

Consultation notes sit apart from billing

The doctor’s notes are on paper or in a chat thread, and the front desk bills from memory. A recommended plan and the bill do not refer to each other.

Session counts are kept by hand

A laser or peel course is sold as six sessions. The number done so far is noted in a register that only one person reads.

Signed consent is hard to find

Signed forms are kept in a file or photographed on a phone. Finding the one for a particular procedure and date takes a search.

Before and after photos are scattered

Photos live on staff phones and in chat groups. Putting the first visit beside the latest visit for one patient means hunting through both.

Devices and consumables are not tracked

Serums, peel solutions, needles and cartridges are used without a count. Expiry dates on opened products are not watched.

Patients who drop a course are not noticed

A patient who finished three of six sessions has not returned. Nothing flags it, so nobody calls.

How it runs

How the work flows through it, step by step.

    Enquiry and booking

    A patient enquires by phone, WhatsApp or the clinic’s page. The front desk books a consultation with a doctor, or a procedure with a therapist, in a room.

    Consultation

    The doctor records the skin or hair concern, history, allergies and examination notes, and writes a treatment plan with the procedures and number of sessions.

  3. 3

    Consent and photos

    The patient signs the consent form for the procedure. Before photos are taken against the session and stored on the patient record.

    Procedure session

    The session is marked done with the device or product used, the settings noted and the practitioner named. One session comes off the package.

  5. 5

    Billing

    The invoice covers the consultation, procedure or package, products and any discount, settled by cash, UPI or card, with GST applied as the accountant advises.

    Follow-up

    After photos, review visits and the next session date are scheduled, and patients who have paused a course are reminded by SMS or WhatsApp.

Common questions

Questions owners ask before a demo.

Can it count sessions on a laser or peel package?

Yes. A package is sold once with its number of sessions, and each completed session comes off the balance. The front desk sees what is left.

Can patients book their own appointments online?

No. Enquiries arrive by phone, WhatsApp or the clinic’s page, and the front desk puts each one on the calendar. A booking page the patient fills in is separate work.

How and when is the consent form signed?

The form for that procedure is signed at the clinic and filed against the session with its date. It is not sent ahead for the patient to sign at home. Which forms you need is for the clinic and its doctor to decide.

Where are before and after photos kept, and who sees them?

On the patient record on hosted servers, dated and grouped by concern, rather than on staff phones. Staff reach them through their own logins. How long photos are kept, and the permission taken from the patient, are decided with the clinic.

Can a package be used at both our branches?

Yes. Branches work from one patient list, so a session balance follows the patient to either one. Sales still report by branch.

Can the clinic’s accounts go into Tally?

Not built in. Sales and package reports are available inside the system for the accountant to read. A Tally export can be added as extra work, priced after we look at how the clinic’s books are kept.

Can patients and package balances be moved?

Yes. Patient records and open session balances are brought across from the old software or paper register, and the front desk checks the list before the first booking is taken.

Who owns the patient data?

The clinic does. The form in which the clinic’s records can be taken out is set down in the proposal, ahead of any build.

What does it cost?

No price is published. The figure varies with doctors, branches and set-up. A demonstration comes first, and the amount follows in a written proposal.

Do we need this for a clinic with one doctor?

Possibly not yet. If you sell no packages and keep no photos or consent forms, a simpler record may do. A free technology audit can say so plainly.
