Serums, peel solutions, disposables and retail skincare are counted in and out against sessions and sales. Reorder levels, batch numbers and expiry dates are shown for each item.
What is tracked
Batch and expiry
Opened and unopened products expire at different times. The record keeps the batch and the date, and lists products that are near expiry so they are used first. Batch tracing also shows which patients received a given vial.
Supplier orders
A purchase order goes to the supplier from the reorder list. Goods received are entered against it. The purchase record then gives the accountant what is needed to match supplier bills.
What the clinic sets up
- The items and units counted, such as ml, vials or pieces
- How much of a bottle a session uses, where that is tracked at all
- Reorder levels for each branch
- Whether a label or barcode printer is used on shelves
What stock tracking does not do
It counts what is entered. It does not weigh a bottle or catch a missed entry. A physical count of the shelf is still needed now and then, and the system shows the difference against the book figure.
Frequently asked questions
Can usage be deducted automatically per session?
Yes, where the clinic fixes an amount per procedure. Otherwise the therapist enters what was used.
Can stock be kept by branch?
Yes. Each branch has its own count, and transfers between branches are recorded.
Does it print barcodes or labels?
A barcode or label printer can be used on the shelves. It is confirmed during scoping, since it depends on what the clinic already owns.
Does it cover medicines under a drug licence?
Any licence-related record is a matter for the clinic and its advisor. The system records receipts, batches and issues as the clinic enters them.
