Follow every brace and aligner case from the first records to the last retainer check.

Orthodontic clinics run cases that last for years, with a short visit every few weeks. Records, photos, appliance orders, monthly payments and retainer checks usually sit in separate places. The orthodontic product holds each case, its next adjustment and its payment plan on one patient record.

At a glance

Orthodontic care is long and steady. A case starts with records, photographs and a plan, then moves through adjustment visits for a year or two before retention begins, and each visit must build on the one before it. It is slow work. The clinic earns across the whole case, so every missed visit matters.

Many practices follow this in a diary, an imaging folder and a payment notebook. A patient who skips two adjustments is easy to miss until the case has drifted and the plan needs rework. Small gaps add up. Plans stretch.

How the work runs today

The front desk books adjustment visits, confirms with parents or guardians, and checks who is due for debonding or a retainer fitting, usually from a diary that also holds every other booking. Assistants prepare the chair. They take photographs and update wires and elastics. The orthodontist reviews progress and sets the next date. Then the patient leaves.

New cases begin with a consultation, impressions or scans, X-rays and photographs. The plan and fee are explained, and many families choose a monthly payment plan. Aligner and appliance orders go out to a lab or a manufacturer with a prescription and a due date. The clinic waits for the parcel before it books the fitting. Some clinics also run several chairs and visiting specialists, each paid by a different arrangement.

Retention is a quiet phase. Patients wear retainers for years. They return for occasional checks, which are rarely scheduled.

Where it breaks

What goes wrong for orthodontic clinics without a proper system.

Cases lose their place

Wire changes, elastics and the next planned step live in handwritten notes. A different clinician opening the file cannot see what comes next. The plan sits in one head.

Appliance orders are chased by phone

Aligners, retainers and custom appliances come from a lab or a manufacturer. Due dates are kept in a chat, so the desk cannot say quickly which patient is waiting.

Monthly payments are tracked by hand

Each family pays on its own schedule against one agreed fee. The balance is worked out from a notebook at each visit.

Records and photographs are scattered

Start, progress and final photographs sit in folders named by date. Finding the right set for a case review can take longer than the review itself.

Retention checks are not scheduled

Once braces come off, the patient drops off the diary. Nobody is prompted to invite them back.

What the software does

What we would build for orthodontic clinics.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Adjustment visit diary

Book short recurring visits by chair and clinician, with the next interval set when the current visit closes.

Case record and treatment stage

Hold the diagnosis, the plan, the appliance type and the current stage, with each wire and elastic change noted by date.

Photographs, scans and X-rays

Attach each image set to the patient and the stage it belongs to, so start and progress sets can be compared.

Appliance and aligner orders

Send prescriptions to the lab or manufacturer and follow each order by due date, receipt and fitting.

Fees and monthly payment plans

Record the agreed fee, the deposit and the instalment schedule, with the balance shown at every visit.

Retainer and recall list

List patients due for debonding, a retainer fitting or a periodic check, ready for the desk to contact.

Clinician share and reports

Work out each visiting or associate orthodontist’s share from cases and collections, and read active cases by stage.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

Common questions

Questions orthodontic clinics ask before they call.

Is the orthodontic product different from a general dental one?

Yes. It is built around long cases, adjustment intervals, appliance orders and monthly payment plans, which general dental software treats as side details. A practice that mixes dentistry and braces may use both. That is reviewed during implementation.

Can it manage clear aligner cases as well as braces?

Yes. Each case records the appliance type, the stage and the next review, whether the patient wears fixed braces, removable aligners or a mix of both over the course of treatment. Aligner orders and refinements are tracked as orders against the case.

Can parents or guardians receive reminders?

Yes. Reminders for adjustments and checks go to whatever contact is on the patient’s file, whether that is email, text message or a chat app. For a minor, the clinic decides which parent or guardian’s contact details are used.

Does it replace our imaging software?

No. Your scanner and imaging software stay where they are. Exported images and scans attach to the case, so they open from the patient record.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
