Clients send food photos all day, and I lose track of who is on which week.
Nutritionists and dietitians run their practice on WhatsApp chats, diet charts in Word or Canva and weight logs in Excel, so check-ins and renewals slip. GullySystem builds a client and plan tracker holding each person’s history, charts, check-ins and package dates. It starts with a free technology audit of your practice.
Your clients come for weight loss, PCOS, diabetes, pregnancy or sports nutrition, usually on a one, three or six-month package, and most of the work happens between consultations.
That work is daily messages, food photos, weekly weigh-ins and revised charts, all living in your phone.
A new client fills an intake form, shares blood reports and food habits, and pays for a package. You write a diet chart with Indian meals they will actually eat, rice or chapati, vegetarian or not, and send it as a PDF.
Every week they send their weight, measurements and photos of meals. You reply, adjust portions and revise the chart when the plateau comes. If you have associate dietitians, each handles their own clients on their own phone.
Near the end of the package you should be talking renewal, but that depends on noticing the date.
What goes wrong for nutritionists and dietitians without a proper system.
Check-ins are missed
A client stops sending weights for two weeks and nobody notices until they ask for a refund.
Diet charts are rewritten from scratch
Each chart starts from a blank Word file, even though half of it repeats what you gave someone with the same condition.
Reports and history are buried in chats
The client’s thyroid report from March is somewhere in WhatsApp, and you need it now.
Package end dates pass silently
Renewals depend on memory, so good clients leave simply because nobody asked.

Can clients use it on their phone?
Yes. Clients can log weights and see their chart in a simple app or web link, while chat stays on WhatsApp if they prefer.
Will package payments go into Tally?
Yes. Package invoices and UPI receipts can post to Tally, which helps at GST and ITR time.
What happens to clients when an associate dietitian leaves?
They stay with your practice. Charts, progress logs and reports are saved on the client’s profile, not the associate’s phone, so another dietitian can pick up from the last check-in.
Is a custom app worth it for a solo practice?
Often not. A ready coaching app may do the job. Custom software fits better when you have associates, a corporate wellness programme or your own branded app in mind.
What happens in the free technology audit?
We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.
How much will the software cost?
We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
