What the software should cover

Tick each one that matters to your business.

  • Client intake and health history
  • Diet chart builder
  • Progress log
  • Follow-up reminders
  • Packages and renewals

Roles that need their own access

Who logs in, and what each person may see or change.

  • For the owner dietitian
  • For associate dietitians
  • For the front desk
  • For clients

Reports to ask for

Ask to see each one with your own sample data.

  • Active clients by dietitian, goal and package type
  • Clients overdue for a weekly check-in, by days of silence
  • Weight and waist change by client over the length of the package
  • Charts issued and revised, by dietitian and condition
  • Packages ending in the next month, with renewal outcome
  • Appointments held, rescheduled and missed
  • Payments received against package instalments

Systems it may need to connect to

Note which ones you already run.

  • WhatsApp and other messaging
  • SMS
  • Email
  • Video consultation link
  • Card and payment gateway
  • Accounting export

Questions for any vendor

Put these to every supplier you are comparing.

  • Is it for a solo practice or a team of associates?
  • Can I build charts from my own templates?
  • Does it calculate calories and macros?
  • Can clients send weights and photos themselves?
  • How are lab reports kept?
  • Can it remind clients before a package ends?
  • Can charts and files be handed to another dietitian?
  • How do we see it before deciding, and what shapes the cost?
  • Who owns the client records?
  • What happens when something breaks?
  • How soon can a practice start seeing clients through it?
  • What should the dietitian gather before set-up?

Where the work usually breaks today

Circle the ones you recognise. They set the order of the project.

  • Follow-ups are missed
  • Diet charts are rewritten from scratch
  • Reports and history are buried in chats
  • Inch loss is recorded nowhere
  • Package end dates pass silently
