Health and wellness · Software for audiology and hearing clinics

Link every hearing test, device fitting, trial and follow-up to one patient.

Audiology software holds each patient’s hearing tests, the devices fitted and the follow-up that comes after. The record carries the audiogram, the device and its serial number, the warranty, the trial period and the settings adjusted at each visit. The front desk sees who is due for a check, and the clinic sees which repairs are out with the manufacturer.

At a glance

An audiology clinic tests hearing and fits devices. The first visit is only the start. A patient may trial a hearing aid for weeks, return for adjustments, send it for repair and come back each year for a retest. The work is a long relationship. Fittings need patience.

Most clinics rely on the audiometer’s own software, a booking diary and a spreadsheet of devices sold. None of these shares anything with the others when a patient phones about a repair. The clinic software holds test, device and follow-up on one patient record.

How the work runs today

A patient books after a referral from a doctor or after noticing a problem. The audiologist takes a history, runs tests in a sound booth and saves the audiogram. If a device is advised, the patient chooses a model and a quotation is prepared, often with part payment taken up front before anything is ordered. Booths are shared.

The device is ordered from the manufacturer, programmed to the patient’s test and fitted at a later visit. A trial period follows, with a check after a week or two. Ear moulds may be made by an outside laboratory, and returns for repair go to the maker. Each leg is tracked.

The clinic keeps batteries, domes, filters and cleaning supplies for sale, and devices carry warranties that end on set dates which patients rarely remember without a prompt. Yearly retests are advised. The owner reviews sales by model.

Where it breaks

What goes wrong for audiology and hearing clinics without a proper system.

Test results are held apart

Audiograms sit in the audiometer’s software on one computer. History is on a card. The device sold is in a sales book.

Device and serial details are untraced

A repair or a warranty claim needs the model, serial number and fitting date, and staff search through old invoices and sales books to find them while the patient waits. It is slow.

Trial periods slip

A patient takes a device on trial and is meant to return in a fortnight. Without a prompt, the trial drifts and the sale stays open.

Repairs go out and are not followed

A device leaves for the manufacturer with a slip. Nobody can say quickly where it is or when the patient will have it back.

Yearly retests are forgotten

Patients are advised to return each year. The diary does not remind them, and warranty end dates pass unnoticed.

What the software does

What we would build for audiology and hearing clinics.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Appointments by audiologist and booth

Book tests, fittings and follow-ups against audiologists and sound booths, with reminders to the patient.

Patient history and audiograms

Keep history, referral source and test results on one record, with audiogram files attached to the date of each test.

Device sales and serial register

Record each device with model, side, serial number, fitting date and warranty end, and see every device a patient has owned.

Trials, fittings and adjustments

Track the trial period, the follow-up date and the settings changed at each visit, and close the sale when the patient decides.

Repairs and ear mould orders

Send devices and ear mould impressions out with a job slip, and follow due dates, receipt and the fitting that follows.

Quotations, billing and part payments

Quote devices and accessories, take part payments and print invoices, with the balance shown at each visit.

Recalls and consumables stock

Find patients overdue a retest or warranty check, and keep stock counts of batteries, domes and filters against reorder points.

Common questions

Questions audiology and hearing clinics ask before they call.

Does it replace our audiometer software?

No. Tests are still run and saved in that software. Exported audiogram files attach to the patient’s record here, and a deeper link can be scoped after a review of the equipment.

Can it manage hearing aid trials?

Yes. Every trial gets a fitting date, a booked follow-up and a result. The sale stays open until the patient keeps the device or returns it.

Does it handle insurer or public scheme claims?

Not built in. Claim formats differ by country and scheme. Records and invoices can be printed or exported for the patient or the clinic to submit.

Who can see patient test results?

Only users given access. Roles decide what each person sees, and what must be kept private under local rules is reviewed during implementation.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
