Health and wellness · Software for urology clinics

Follow every stone, scope and surgical case from first consultation to final review.

Urology clinics treat kidney stones, prostate and bladder problems, infections and urinary tract cancers across consultations, tests, procedures and long follow-up. The product holds history, scan and lab results, procedure bookings, operating lists and review dates on one patient record. Staff see who is awaiting a result, a procedure or a recheck.

At a glance

A urology clinic manages conditions that need tests and often a procedure. A patient with flank pain has a scan, a urine test and a stone plan. A patient with a raised prostate marker has repeat tests, a biopsy and months of review. Many cases are watched for years. Missing one recheck can matter.

Most clinics hold the diary in one tool, scan reports in a folder and the operating list on a sheet shared with the hospital. When a patient phones about a result, nobody can find the thread quickly. The urology product holds the whole case in one place.

How the work runs today

The front desk books consultations and requests reports and referral letters before the visit. The urologist takes the history, examines, and orders ultrasound, CT, blood tests, urine culture or uroflowmetry. Some clinics run an in-house room for cystoscopy and minor procedures.

Larger procedures, such as stone removal or prostate surgery, are booked at a partner hospital with an operating date, an anaesthetist and a bed. The clinic arranges pre-operative tests, consent and instructions for the patient. After surgery, a catheter or stent may need removal on a set date. That date must not slip.

Results are reviewed at a follow-up. Stone patients may return for a repeat scan and advice on fluids and diet. The owner checks procedures done, hospital bookings, results awaited and patients who have not come back for a stent removal or a recheck.

Where it breaks

What goes wrong for urology clinics without a proper system.

Results arrive and are not matched

Scans, lab reports and biopsy results come by email, paper or portal. Staff must match each to the right patient and tell the urologist, and some are filed and never reviewed.

Stent and catheter removals are missed

A stent is placed and meant to come out on a set date. The date is in the note. Nobody is prompted to book the patient in.

Hospital bookings are tracked on sheets

Operating dates, bed requests and anaesthetist slots are arranged by calls and a shared sheet, so changes are missed and patients arrive unprepared.

Long follow-up depends on memory

A patient on surveillance needs a test every few months for years. The diary only shows booked visits, so patients who stop coming are not seen.

Consent and procedure records are scattered

Consent forms, procedure notes and implant details sit in different folders, and a later visit has to search for what was done.

What the software does

What we would build for urology clinics.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Appointments by urologist and room

Book consultations, procedure room sessions and reviews by urologist and room, with reminders, referral letters attached and walk-in slots for urgent cases. Views run by day and doctor.

Patient history and test results

Hold history, medicines, scans, lab reports, uroflowmetry and biopsy results on one record, matched to the right patient and shown to the urologist at the visit.

Stone and surveillance pathways

Follow each stone case or prostate patient on a pathway with the next test and next review date set, and list patients who are overdue.

Procedures and hospital bookings

Plan cystoscopy, stone removal and surgery with a date, a hospital, an anaesthetist and a bed, and record consent and instructions given.

Stents, catheters and implants

Record each stent, catheter or implant with the date placed and the date it is due out, and prompt the desk to book the removal.

Estimates, billing and part payments

Quote procedures, take part payments and issue receipts, with doctor and hospital charges kept apart on one statement for the patient.

Recalls and follow-up lists

List patients due a recheck, a repeat scan or a removal, and send reminders by message or email so that no review is dropped.

Common questions

Questions urology clinics ask before they call.

Can scan and lab reports be attached to the right patient?

Yes. Reports are attached to the patient and the date of the test, and the urologist sees them on the visit. Direct links from lab systems depend on the lab and are quoted separately.

Does it handle operating lists at a partner hospital?

The clinic’s own list is kept here, with date, theatre, hospital and bed requests. The hospital’s internal system stays as it is, and the two are matched by your staff.

Can it remind us when a stent is due out?

Yes. The removal date is set when the stent is placed, and the desk is prompted to book the patient before it falls due.

Is it right for a solo urologist with a few patients a day?

It can be. A single doctor with stone patients and stents still needs recalls and a record, though a very light practice may cope with a diary and folders.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
