A fertility clinic runs consultations, stimulation scans, egg retrieval, an embryology lab and a frozen-sample store, often with a small team covering all of it. The software keeps the couple as one record, follows each cycle from the first scan to the pregnancy test, and ties lab entries, stored samples, consent forms and package payments to it.

Fertility work is counted in cycles rather than visits, and one cycle can run through several scans, daily injections, a retrieval, lab days and a transfer.

The couple is one case. Both partners’ tests, the stored samples and every payment against a package belong on the same record, so nobody has to match them by hand later.

How the work runs today

A couple registers, sees the consultant and is counselled on the treatment plan and the package. Tests for both partners are ordered, and the results come from the clinic’s own lab or an outside one.

During stimulation the patient returns for follicle scans and blood tests, and the doctor adjusts the injection doses at each visit. Trigger, retrieval and transfer dates are set from those readings, often by phone that evening.

In the lab, embryologists record eggs retrieved, fertilisation, embryo grades by day and what was frozen. Frozen embryos, eggs and semen sit in tanks by canister and straw. Witness checks are signed on paper.

Frozen samples lose their trail

The tank register shows where a straw sits, but not whose storage renewal is due or unpaid. Old entries are rarely checked.

Package balances live in a ledger

Consent forms go missing

Set up treatment packages, note what each one includes and what is billed outside it, and take payments in parts. The balance prints on every receipt.

Does the clinic product hold embryology records?

Not on its own. Hospital/Clinic Management System covers appointments, patient records, billing and pharmacy stock. The cycle sheet, lab entries and tank register are added work, scoped with your embryologist.

Can it produce the registers our licence or inspector asks for?

It can hold the entries those registers draw on, such as consents, procedures, lab steps and storage. Your adviser confirms what your licence requires, and report formats are agreed during implementation.

Who can see a couple’s records?

Each login sees what its role needs. The embryologist works in lab entries, the front desk in billing, and changes to the record are logged with who made them.

Can follow-up consultations be done by video?

No. The clinic product records visits held at the clinic. Teleconsultation is separate work and would be scoped on request.
