Leave Management for Hospital Rotas

Leave requests are approved against the duty rota, so a short shift is visible before the day arrives. The module also keeps leave balances and the decision on each request.

Approved with the rota open

The request and the week are on the same screen. Whoever approves can see what the shift looks like without that person. That is the information the decision needs.

What is kept

Balance per person

Leave taken is counted against entitlement. The balance is one figure, and not two people’s different arithmetic.

The decision and its date

Approved or refused, by whom and when. A refusal is recorded too, and the person who asked can see the answer.

Into the rota

An approved leave shows as a gap immediately, and not on the evening the shift starts.

Unplanned absence

An absence is marked, and it lands in the same record as planned leave instead of a separate note.

What it does not decide

Four nurses may want the same festival week. Weighing that is a judgement, and it stays with the head of department, who knows the ward and the staff. The module puts the rota and the balances in front of the approver at the time of deciding, not three days later.

FAQ

Frequently asked questions

Can ward staff apply from a phone?

Yes. Ward staff rarely sit at computers, so applications are made from a phone.

Who approves leave?

Whoever is set, usually the head of department or the nursing in-charge. The administrator can see all requests.

Can we block a period?

Yes. Mark the week when nobody can be spared, and requests for those dates are not accepted.

Does leave affect the salary calculation?

Where the leave is unpaid, yes. Leave without pay is deducted in the payroll run from this record, so there is no second list of absences.
