One connected system for admissions, beds, daily programmes, medication rounds, billing and aftercare.
Manage an addiction treatment centre in one system. Admissions, consent and the intake assessment open a resident record, and beds, rooms and the daily programme follow from it. The same record holds each medication round, family call, deposit and final bill. Each role sees only its own screens, and discharge hands over to an aftercare list, so the centre sees each person’s whole stay.
- Programme, ward and fee structures entered as your centre runs
- Resident list and open balances migrated
- Programme and package list edits handled by GullySystem staff when asked
Residential and outpatient addiction centres manage admissions, programmes and billing in GullySystem, configured to how each centre works. Admissions staff, counsellors, nurses and accounts work from it. Each resident record carries consent, assessment, bed, programme attendance, medication rounds, family contact, billing and aftercare, with screens limited by role.
What goes wrong before the software.
How the work flows through it, step by step.
- 1
Enquiry
A call or web enquiry is recorded with its source and the substance concerned. The admissions team follows it until the person is admitted or declines.
- 2
Admission
The intake assessment and consent are completed, a resident record is opened, belongings are listed and sealed in a locker, and a bed or outpatient slot is allocated.
- 3
Programme
Group and individual sessions are timetabled for each resident, and attendance and key worker notes are recorded after every session.
- 4
Care rounds
Nurses record medication rounds, withdrawal scale scores and observations, and the medical officer’s reviews are scheduled and noted against the same record.
- 5
Family and billing
Visitors and calls follow the rules set for each resident, while deposits, package charges and instalments are billed against the stay.
- 6
Discharge and aftercare
A discharge summary and aftercare plan are agreed, and follow-up contacts are listed until each is completed. Relapse warnings reach the key worker.
What is inside.
Every module can be switched on, left out or changed to match how your team already works.
The business modules it is built from.
Each one is also available on its own, or inside a system built for you.
- Lead Management
Each call or web enquiry is recorded with its source and followed up until the person is admitted or declines.
- Document Management
Signed consent, referral letters and assessments attach to the resident record and open from the same screen.
- Resource and Room Booking
Beds and rooms are allocated to residents, transfers are recorded, and occupancy reads by ward, floor and day.
- Appointment Scheduling
Group and individual sessions are timetabled for each resident, with counsellors and rooms booked so that nothing overlaps.
- Stock Tracking and Alerts
Medicines, consumables and groceries are counted with reorder levels, and an alert reaches the store before an item runs out.
- Invoice Management
The stay is billed by package or day, deposits and instalments are set against it, and the balance is clear at discharge.
- Roles and Permissions
Nurses, counsellors, admissions and accounts each see only the screens their work needs, and the owner decides who sees more.
- Service Reminders
Aftercare calls are listed with due dates after discharge, and each stays on the list until its outcome is written down.
How we would put it in.
Setup, data migration, integrations and anything built on top.
One system, each person sees their part.
For the centre manager
See occupancy by ward, admissions in progress, balances due, supplies low and aftercare contacts outstanding, with transfers and early discharges listed for review each morning.
For counsellors
See your sessions, each resident’s attendance and treatment goals, and the notes you have entered, and open the family call log before a family therapy session.
For nurses and the medical officer
See the rounds due, the withdrawal scale scores and observations to record, and the reviews scheduled for the day. Stock counts are quick.
For admissions and accounts
Follow enquiries into admissions, take deposits, issue bills, track insurer authorisations and chase balances, with each family’s payments shown beside the resident’s stay.
The numbers the owner asks for.
- Occupancy by ward and day
- Admissions and enquiry outcomes by referrer
- Programme attendance by resident
- Medication rounds given, refused or missed
- Balances, deposits and pending authorisations
- Visitors, calls and returned curfews logged
- Aftercare contacts due and completed
Who this is built for.
- Residential treatment centres
- Outpatient and day programmes
- Centres that run both residential and outpatient care
- Centres with several wards or houses
- Centres that manage long aftercare programmes
When it is not the right choice.
- A small counselling practice with no beds or rounds can use a simpler clinic tool.
- A general hospital with many departments needs a full hospital product instead.
Adapted to your business before it goes live.
You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Questions owners ask before a demo.
Is it for residential or outpatient centres?
Both. Residential centres use beds, rounds and a daily programme. Outpatient services use appointments and sessions, and the same resident record serves either.
What protects confidential information?
Roles decide who sees what, and opening a sensitive entry is logged. The centre’s own privacy rules and consent wording are applied during implementation.
Can it record medication rounds?
Yes. Each dose is marked given, refused or missed with a time and a name, and stock is counted against what was issued. Clinical protocols for detox and tapering stay with the centre.
Where is programme attendance recorded?
Sessions are scheduled for each resident and attendance is marked at the session. A key worker reads the pattern across the whole stay, from the first group to the final family meeting.
Can deposits and instalments be tracked?
Yes. Each payer’s deposit and instalments are set against the stay, and the balance is shown to accounts and the manager at any point, along with any insurer authorisation.
What happens after discharge?
A plan is agreed at discharge, and follow-up contacts are listed with due dates. A call stays on the list until its outcome is recorded.
Can our resident registers be brought in?
Yes. Current residents and what each still owes can be brought over from your spreadsheets or existing software. Staff compare a few admissions with the originals before going live.
Who owns the data?
The centre does. The proposal sets out the format in which records can leave, so a later move is planned from the start.
What decides the cost?
It follows the number of beds, sites and users and the migration needed. After a demonstration built around your own programme, the proposal is put in writing.
Is it needed for a very small centre?
Perhaps not at once. With a few beds and simple fees, registers may be enough. A working session will tell you directly.
