GullySystem
Healthcare · Assisted Living Community Management Software

One system for residents, care tasks, medicines, rosters and family billing.

Manage family enquiries, tours, assessments, move-in, resident profiles, care plans, daily tasks, medication rounds, staff rosters and monthly billing in one system. Each resident carries a plan, a room and an account from first visit to move-out. Carers tick off each shift’s tasks on a tablet or phone, from hoist transfers to hydration rounds. Families receive one clear statement.

  • Care levels, rates, task lists and room types entered the way your community runs
  • Resident details, contacts and open balances migrated and checked by your staff
  • Edits to care levels and templates handled by GullySystem staff when asked

Senior living homes use Assisted Living Community Management Software, configured by GullySystem, for enquiries, move-in, care plans, daily tasks, medication rounds, rosters and billing. Each resident has one profile with needs, room, keyworker, contacts and account. Tasks are ticked on a phone. Families receive one monthly statement.

Where it breaks today

What goes wrong before the software.

Enquiries and tours are tracked loosely

Families call, visit and compare. Without a list, follow-ups after a tour are missed and a vacancy stays empty for weeks while a waiting list sits in a notebook.

Care plans and shift tasks are separate

The plan is a document and the shift works from a board. A change to a hoist transfer, a walker or a diet texture in one place does not reach the other.

Handover is verbal

Shift notes are passed on in a few minutes at the desk. Small changes in appetite, mood, mobility or wandering at night can be missed.

Medication charts are on paper

Each dose is signed by hand on a chart, and checking a missed dose means finding the sheet. Dosette stock levels and PRN doses are counted separately.

Rosters and licences are managed by spreadsheet

Shift cover, leave, hoist training and first aid dates sit in different files, so gaps are found only when someone does not arrive for the morning round.

Family bills are built by hand

Rent, care level, meals, hairdresser visits, chiropody and other extras change through the month. Each bill is hard to explain line by line to a worried daughter.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry and tour

A family enquiry is logged with the prospective resident’s needs, including dementia care or mobility aids, and a tour is booked with a named staff member.

  2. 2

    Assessment and contract

A nurse records the assessment and the care level. The contract, deposit, power of attorney details and emergency contacts are stored beside it.

  3. 3

    Move-in

A room is allocated. A checklist is run for belongings, medicines, diet, the call bell and the first care plan, so nothing is forgotten on day one.

  4. 4

    Daily care

Each shift receives a task list per resident. Tasks such as continence care, repositioning and hydration are ticked off, medicines are marked as given, and notes are written for the next team.

  5. 5

    Review and incidents

The care plan is reviewed on schedule. Falls and other incidents are recorded with who was told and what followed, including any pressure sore noticed by the carer.

  6. 6

    Billing and move-out

A monthly invoice combines rent, care and extras. On move-out the room is released and the account is settled, and the family gets a final statement.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Enquiries and tours

Log each family enquiry and tour, record the outcome and see which prospects are waiting for a decision after seeing a room.

Assessment and move-in

Record the care assessment, the contract and the deposit, then run a move-in checklist for the first week, covering equipment such as a wheelchair, a walker or a hoist.

Resident profiles

Keep needs, diet texture, allergies, preferences, keyworker, emergency contacts and the paying family on one record that every shift can open.

Care plans and reviews

Write the care plan by need, set review dates and prompt the nurse when a review is due, whether the need is wellbeing, continence or dementia support.

Daily tasks and shift handover

Every resident has a task list per shift, ticked off at the bedside on a tablet or phone, and incoming carers read the handover notes first, including overnight pendant alarm calls.

Medication schedule

Record prescriptions, doses and times, mark each dose as given, refused or missed, and flag low dosette stock. Clinical rules are set with your nursing lead.

Rooms and occupancy

Show each room as occupied, reserved or being prepared, with its care level, rate and whether it has a wet room or hoist track.

Staff rosters and licences

Plan shifts by floor and role, record attendance and track training and licence dates for each carer and nurse, from manual handling to first aid.

Activities and events

Plan the weekly activity calendar, including hairdresser, chiropody, physiotherapy and music sessions. Take sign-ups and record who attended.

Incidents and observations

Record falls, complaints and changes in health, with who was notified and the follow-up that was agreed with the nurse and the family.

Billing and family statements

Raise monthly invoices from rent, care level, meals and extras, apply part-month changes, and share statements with the paying family.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Lead Management

Each family enquiry and tour is logged with its outcome, so admissions staff know which prospects are still deciding and who should be called.

  • Task Management

Every resident has tasks for each shift, ticked off on a phone or tablet, and unfinished ones are visible to the next team.

  • Attendance & Time Tracking

Carers and nurses are rostered by floor and role, with attendance recorded so cover for absence can be arranged early.

  • Subscription Billing

Rent, care level, meals and extras are billed each month on a cycle, with part-month changes applied to the right resident account.

  • Invoice Management

Each family receives one invoice with a line for every charge, and the account shows what has been paid and what remains.

  • Resource and Room Booking

Rooms and units are shown as occupied, reserved or being prepared, which helps admissions promise a move-in date.

  • WhatsApp, SMS and Email Notifications

When a fall or health change is recorded, the nurse and the named family contact are told by message, as your policy sets.

  • Roles and Permissions

Kitchen staff see diets and allergies, care staff see tasks, and only nurses and managers open health notes on a resident.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For administrators

See occupancy, enquiries, open balances and incidents, and approve changes to rates or care levels. Rosters and licence dates sit on the same screen.

For admissions staff

Handle enquiries, book tours, record assessments and complete move-in with the checklist for belongings, mobility aids and the first care plan.

For nurses

Write and review care plans, manage the dosette and medicine schedule, and follow up incidents such as falls or pressure sore concerns.

For carers on shift

Open the task list for the shift, tick tasks off, and leave handover notes about appetite, mood, mobility and hydration for the next team.

For families

Receive statements and agreed updates, and see upcoming activities such as the hairdresser day or a music afternoon.

Reports

The numbers the owner asks for.

  • Rooms filled, by unit and care level
  • Enquiry and tour outcomes
  • Care plan reviews falling due
  • Medication rounds done and missed
  • Falls and incident types by unit
  • Unpaid balances by family
  • Hoist training and licence dates due
Good fit

Who this is built for.

  • Assisted living homes with several floors, wings and shifts
  • Retirement villages and independent living sites adding care services
  • Memory care units keeping detailed daily notes on dementia residents
  • Small homes for older people run by an owner or a trust
  • Respite and short-stay providers hosting residents for weeks
Honest answer

When it is not the right choice.

  • A household caring for two or three residents can get by with a notebook and a shared calendar.
  • Hospitals and nursing facilities that need full clinical charting will find Hospital Operations Management Software closer.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Care levels and rates

Care levels, room types, meal plans and extras are entered with your rates, so the bill follows your contract and the hairdresser or chiropody charge lands on the right line.

Task templates

Daily task lists by need, such as bathing help, hoist transfers, continence care or meals, are set up with your nursing lead.

Medication rules

Dose times, check steps and who may record a dose are agreed with your nurses and reviewed during implementation.

Residents and balances migrated

Your files supply each resident’s details, family contacts, keyworker, care notes and unpaid balance.

Privacy and access

Roles decide who sees health notes, so the kitchen sees diet texture but not the care plan. Consent and retention rules for your country are reviewed with you.

Hosted by GullySystem

Hosting is with GullySystem, so the morning, evening and night teams read one resident record. Edits to templates and rates come from GullySystem staff.

Common questions

Questions owners ask before a demo.

Does it keep a care plan for each resident?

Yes. The plan lists needs, tasks and review dates. Care staff see the tasks on their list, and the nurse is prompted when a review is due.

Can staff record medication on a tablet?

Yes. Each dose is marked as given, refused or missed, with the time and the person. Your nurses set the check steps during implementation.

Can it handle different care levels in one month?

Yes. A change in level is dated, and the invoice splits the month between the two rates.

Is it a clinical record system?

No. It holds daily care, medicine schedules, observations and incidents for the community. Any link to a clinical system is scoped at the first workshop.

Can families see anything?

Yes, if you choose. Families can receive statements and agreed updates, and you decide what each contact sees.

Does it track staff licences and training?

Yes. Dates for manual handling, first aid and other training are held against each person, and reminders go to the manager before they lapse.

Can several communities share one system?

Yes. Each community keeps its own residents, rooms and rates, and an owner can read reports across all of them.

Who owns the data?

You do. The quotation spells out how resident files can be handed back to you.

What does it cost?

No price is published. It depends on residents, shifts and the modules in use. A working demo comes first, and the quotation with its figure follows once you have seen it.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
