Healthcare · Chiropractic Clinic Management Software

One connected system for case notes, adjustment visits, treatment plans and billing.

Manage a chiropractic clinic in one system. Each patient has a case history, spinal assessment, scans and a treatment plan. Every adjustment visit is written up as a SOAP note against the plan, and the visit count, the bill and the next follow-up come from the same record.

  • Assessment forms and treatment plans laid out like your doctors’ own notes
  • Patient list and open visit plans migrated from your register
  • Later edits to forms and plans handled by GullySystem staff when you ask

Chiropractic Clinic Management Software, which GullySystem fits to the practice, runs the clinic from the first case card to the final bill. It is practice management software holding the clinical record, the clinic’s EHR, in the same place. Doctors and front desk staff share one record. It holds case history, spinal assessment findings, SOAP adjustment notes, treatment plan visit counts, X-ray files and bills. You decide which techniques, scores and packages the screens follow.

Where it breaks today

What goes wrong before the software.

Case notes sit in paper files

A patient’s history, complaint and findings are written on a card or in a notebook. The next doctor on duty has to ask the patient again.

Visit counts are kept from memory

A patient agreed to a course of visits. Without a count against the plan, the doctor and the patient each remember a different number.

Scans and reports are spread about

X-rays, MRI reports and old prescriptions arrive as films, photos on a phone and printouts. Finding the one from last year takes a search.

Progress is not measured visit to visit

Pain levels and range of movement are noted in words, if at all. Comparing the first visit with the eighth means reading every note.

Patients who stop coming are not noticed

A patient with three visits left stops attending. The plan stays open and nobody calls to ask about it.

Receipts and the plan do not match

Advance payments, part payments and balances are written on receipts. The receipt book and the visit record are kept apart.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry and booking

A patient calls, messages or walks in. A first visit slot is booked with a doctor, and the complaint is noted.

  2. 2

    First visit

Reception records the patient’s details and consent. The doctor takes the case history and records the spinal assessment, and any scans are attached.

  3. 3

    Treatment plan

The doctor sets the number of visits, the spinal regions and the gap between visits. The plan is explained to the patient and saved.

  4. 4

    Adjustment visits

Each visit records the region treated, the technique used, the patient’s response and any advice given. The visit count against the plan goes up by one.

  5. 5

    Billing

A bill covers the visit, a package or an advance, and any brace or support sold. The desk notes the mode of payment: cash, card, bank transfer or mobile wallet.

  6. 6

    Review and follow-up

Progress is compared with the first visit. Patients who have not returned are called, and a reminder goes out for the next one.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Appointment Scheduling

Reception books first visits, adjustment visits and reviews by doctor, with reschedules, cancellations and walk-ins on one calendar.

  • Document Management

X-ray images, MRI reports and outside prescriptions attach to the patient’s record with the date and source, ready for the doctor at the next visit.

  • Invoice Management

Bills cover consultations, adjustment visits, packages and products, with advances, part payments and the remaining balance shown.

  • Receipts Management

Each payment taken at the desk is recorded against the bill it settles, so advances and part payments stay linked to the visit.

  • Service Reminders

Staff list patients who missed a visit or finished a plan, then send them recall messages from that list.

  • Stock Tracking and Alerts

Lumbar belts, cervical collars, pillows and table paper are counted against reorder levels, and sales reduce stock from the bill.

  • WhatsApp, SMS and Email Notifications

Recall reminders go to patients on WhatsApp, as texts or by email, sent from the follow-up list.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For chiropractors

See the day’s patients, case history, scans, the plan and the previous visit’s notes before the adjustment.

At the front desk

Manage the calendar, registration, consent forms, bills, advances and reminders.

For clinic assistants

See who is next, which room is free and which supplies need replacing.

For owners and clinic managers

See visits by doctor, plans open and finished, money received and patients who have stopped attending.

Reports

The numbers the owner asks for.

  • Visits by doctor, day and month
  • Open treatment plans and visits remaining
  • Patients who missed a visit or have not returned
  • Progress scores from first visit to latest
  • Money received, advances and balances due
  • Brace and supply stock to reorder
Good fit

Who this is built for.

  • Single-doctor chiropractic clinics keeping paper case cards
  • Clinics with two or more chiropractors sharing a front desk
  • Chiropractic clinics running treatment courses with advance payment
  • Clinics that sell braces, collars and supports at the counter
  • Chiropractic practices with more than one branch
Honest answer

When it is not the right choice.

  • A doctor who sees a handful of patients a week can manage with a paper register and a card reader.
  • Clinics that mainly run exercise programmes and session packs will find Physiotherapy Clinic Management Software fits that work better. The adjustment note here records the advice given, not a home exercise programme.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your assessment forms

Fields for case history, examination and visit notes are set up as your doctors write them today.

Treatment plan templates

Typical plans, such as the number of visits and the gap between them, are entered so a doctor picks one and adjusts it.

Consent wording

The consent text is supplied by the clinic. GullySystem records the signature and the date against the patient.

Patients and plans migrated

Patient lists, phone numbers and open visit plans arrive from your register, and the front desk goes through each name prior to launch.

Hosting for the clinic

GullySystem hosts the system, so every branch shares one patient list. When a form or plan layout needs editing, GullySystem staff do it for you.

Common questions

Questions owners ask before a demo.

Is this software for chiropractors only?

Yes. The assessment, SOAP notes and treatment plans are set up for chiropractic practice. Practice management and the clinical record sit together. A clinic that mainly offers physiotherapy or Ayurveda is better served by a product built for that trade.

Does it keep SOAP notes and spinal findings by region?

Yes. The visit note follows the SOAP order your doctors write in now. Findings are recorded by spinal region, with posture and range of movement.

Can it count visits against a treatment plan?

Yes. The doctor sets the number of visits, and each recorded adjustment visit comes off the plan. Remaining visits show at the desk and on the bill.

Can we keep X-rays and MRI reports in it?

Yes. Images and report files are attached to the patient’s record with a date. Which file types are stored is reviewed during scoping.

Is it cloud software or installed on the clinic computer?

GullySystem hosts it, and the clinic opens it in a browser. Nothing is installed on the clinic computer. The clinic does need a working internet line. Every branch works on one patient list.

Can patients book their own appointment or consult by video?

No. Slots are booked at the front desk, and visits are recorded as in-clinic adjustments. A patient booking page or a video consultation screen is separate work, scoped on its own.

Does it send reminders to patients?

Yes. Appointment reminders and follow-up messages reach patients on WhatsApp, by SMS or by email. The sender account is set up with the clinic during scoping.

Is there any hand-off to accounting software?

Not built in. Fee and collection reports remain inside GullySystem, ready for your accountant to read. Once the accountant’s ledger layout is known, an export for the accounting package can be priced.

Can patient records be moved from our register, and who owns them?

Yes. Patient lists and unfinished plans come across from a paper register or the software in use now, and reception proofreads them ahead of launch. The clinic owns its records. How a clinic takes its patient files out is laid down in the quotation.

What does it cost?

No price is published. Cost varies with doctor count, branches and configuration. A demo comes first, and a written proposal states the figure.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
