Each patient record works as the clinic’s EMR, holding the assessment, treatment plan, progress notes and the session package counted visit by visit. Billing follows the sessions done. What goes wrong before the software.

Patient notes sit in paper files

A patient’s first assessment is in one file and later sessions are in another. The therapist covering a day off has to ask what was done last.

Package sessions are counted by hand

A patient paid for ten sessions and believes some are left. Without a count against the patient’s name, the balance is a matter of memory.

Exercise sheets are given verbally

A patient is shown the exercises in the clinic and forgets the sets and repeats at home. Nothing written goes with them.

Patients drop out between sessions

A course of treatment stops after a few visits. Nobody sees which patients have missed their next session.

Referring doctors hear little back

Orthopaedic surgeons and physicians send patients for rehabilitation. A progress note back to them depends on someone remembering to write it.

Therapist payouts are counted from the diary

Sessions, home visits and visiting therapists’ shares are added up from the appointment book at month end, and the totals are disputed.

How it runs

How the work flows through it, step by step.

    Enquiry and booking

    A patient calls, comes in with a doctor’s referral or books online. The first visit goes on the calendar against a therapist and a treatment room.

    Assessment

    The therapist records the complaint, history, findings and goals, and sets a treatment plan with the number of sessions suggested.

    Sessions

    Each visit is marked done by the therapist, with a short progress note. The session is counted against the package or the plan.

    Home exercises

    An exercise sheet with the sets, repeats and cautions is shared with the patient on WhatsApp or printed at the desk.

    Billing

    Reception bills the session, or takes one off the package balance, paid in cash, by UPI or on a card. Equipment hire or supplies go on the same bill.

    Review and follow-up

    A review note is written when the plan ends or is changed. Patients who have missed a session are listed for a call, and the referring doctor can be sent an update.

Common questions

Questions owners ask before a demo.

Are patient records linked to an ABHA number under ABDM?

No. The clinic keeps its own patient numbering, and nothing is filed against an ABHA number. Ask during scoping if ABDM participation matters, since it is separate work.

Can it keep session packages and count the sessions?

Yes. You sell a package once, and each completed session comes off the balance. Sessions left and the end date show at the front desk.

Can therapists write progress notes after each session?

Yes. The note format is set with your clinic, SOAP headings included, and each note saves against the patient’s plan for the next therapist to read.

Can exercise sheets be sent to patients?

Yes. Sheets are built from your own exercise templates and can be shared over WhatsApp or printed at the desk. The patient gets a sheet, not a video library or an app. What is prescribed remains the therapist’s decision.

Does it handle home visits?

Yes. A home visit goes on the calendar with the address and the therapist, and it is counted for billing and payout like any other session.

Does anything go into Tally?

Not built in. Billing and package reports are held in the software for your accountant to use. A Tally link is separate work, priced once the clinic asks for it.

Can patients and package balances be moved?

Yes. We load patients and their open balances from the paper register or the software you use now, and the front desk checks the list before the clinic goes live.

Who can see patient records?

Each login sees only what its job needs. A therapist sees patients assigned to them, reception sees what billing needs, and the owner decides who reads what.

Who owns the patient data?

You do. Your right to take patient data with you on leaving is stated in the proposal first.

What does it cost?
