Equipment and Consumables for Physiotherapy Clinics

Consumables such as tapes, gels and electrode pads are counted in and out, and equipment kept for hire is tracked by item. Reorder levels show what to buy before it runs out.

Two kinds of stock

A physiotherapy clinic uses supplies that are consumed and equipment that is lent or used again.

Consumables

Kinesiology tape, ultrasound gel, electrode pads, hot packs and disposable covers are recorded by purchase and by use. Reorder levels are set by the clinic.

Retail items

Braces, belts, heel supports and exercise bands sold at the desk go on the bill and come off the stock at the same time.

Equipment for hire

A walker, a cervical collar or a TENS unit lent out is tracked by item, with the patient’s name, date out and date returned.

Clinic machines

Ultrasound, interferential and traction units are listed with service dates, so a unit due for maintenance is noticed before it breaks down.

Purchases and suppliers

A purchase is entered with the supplier and the date. Items running below their level appear on a reorder list. The owner or manager raises the order, and the received stock is added when it arrives.

Deposits on hired equipment

A clinic that lends equipment may take a deposit. The deposit and its return are recorded against the patient’s bill. An item that has not come back is listed, so someone can ask the patient about it.

What the clinic decides and what is left out

The clinic decides reorder levels, hire rates and deposit rules. Large machines are tracked as assets for service dates only. Depreciation and the clinic’s asset register belong with the accountant and are not kept here.

Does a session reduce stock automatically?

Where the clinic wants it. Gel or tape used in every session can be set to reduce stock when the session is marked done.

Can a barcode or label printer be used?

Yes, for retail items and equipment tags. Which printer and label size the clinic uses is confirmed during scoping.

Is batch expiry tracked for creams and gels?

Yes, where the item has an expiry date. Items near expiry show on a list so they can be used or returned.

Can stock be counted separately for each branch?

Yes. Each branch holds its own stock, and a transfer between branches is recorded as an entry in one and a receipt in the other.
