Health and wellness · Software for occupational therapy clinics

Follow each client from referral and assessment to goals, sessions and the final report.

Occupational therapy clinics work with children, adults and older people on daily living, work and school tasks. Referrals, assessments, session notes, funding approvals, splints and home visits are held in separate files. The occupational therapy product keeps one client record with goals, sessions, equipment and billing together.

At a glance

Occupational therapy is organised around goals. A client wants to dress without help, return to work after an injury, hold a pencil or stay safe at home, and the therapist plans sessions around that goal.

Referrals, outcome measures and funder reports are written by hand or in word processor files, so progress against a goal is hard to show at review time. Session counts approved by a funder are tracked in a separate sheet.

How the work runs today

A referral arrives from a physician, a school, an employer, an insurer or a family. The front desk records who referred, what funding applies and what the client hopes to change. A therapist completes an initial assessment, sets goals with the client or the parent, and agrees a plan for the sessions that follow.

Sessions are held in a treatment room, a sensory gym, a school, a workplace or the client’s home. After each one the therapist writes a note against the goals, records any outcome measure and sets the next appointment. Some clients need a custom splint, an adapted utensil or a seating recommendation, and these are ordered or made and fitted at a later visit. Assistants prepare rooms and equipment.

Reports go back to referrers at set points, and funders approve a limited number of sessions at a time. Home and workplace assessments involve travel, photographs and a written recommendation. Therapists who work as contractors are paid by sessions delivered.

Where it breaks

What goes wrong for occupational therapy clinics without a proper system.

Goals and sessions are recorded apart

The goal is written at assessment, and session notes are written later in a different file. At review, someone has to read every note to see whether the goal has moved.

Approved sessions run out unnoticed

A funder approves a set number of sessions for a set period. Sessions are tallied on paper at the clinic, so the final approved visit is discovered only when the claim bounces.

Rooms and equipment clash

Sensory rooms, swings, hand therapy tools and standing frames are shared by several therapists. A paper timetable cannot show which therapist has booked which room at which hour.

Reports to referrers are late

Each report draws on assessment findings, outcome scores and notes from many dates, so writing one means reopening the whole file and copying lines across by hand before the referrer’s deadline.

Splints and aids are hard to track

An item is ordered or fabricated. It is fitted on a later visit. Its status sits in the therapist’s memory until the client rings to ask.

What the software does

What we would build for occupational therapy clinics.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Referral and assessment record

Log the referrer, funding source, reason for referral and assessment findings, with the consent and contact details of the client or carer.

Goals and outcome measures

Set goals in the client’s words, attach standard outcome measures, and show scores over time beside the sessions held, so a review meeting sees movement against each goal at a glance.

Session booking and room use

Book therapists, treatment rooms, the sensory gym and visits to schools and homes without double booking, with reminders sent to the client or parent.

Session notes and home programmes

Write a note against each goal, then attach the exercises or activity sheet the client takes home and the review date for it.

Funding, sessions approved and invoices

Record each approval with its number of sessions and dates, count sessions used against it, and raise invoices to the funder or the client.

Splints, aids and equipment orders

Track each splint, adapted device or seating item from measurement through ordering or fabrication to fitting and follow-up.

Reports and review letters

Build a report for a referrer or funder from the goals, scores and notes already saved, and keep the sent copy on file.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions occupational therapy clinics ask before they call.

Does it work for paediatric and adult practices?

Yes. Goals, outcome measures and session notes are configured for the age groups you see, and school or workplace visits are recorded like any other session.

Can it track approved sessions from a funder or insurer?

Yes. Each approval is recorded with its dates and session count, and the clinic sees how many remain before a renewal request is due.

Can we use our own assessment forms and outcome measures?

Yes. Your forms are built into the record. Licensed measures stay subject to their publisher’s terms, which the clinic holds, and this is reviewed during implementation.

Does it send claims to insurers directly?

Claim formats vary by country and insurer. The system prepares session and charge data, and a direct submission link can be quoted separately after the format is reviewed.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
