Ayurveda Clinic Management Software from GullySystem runs an Ayurvedic clinic on one patient record. Vaidyas and therapists work from it. The case sheet is that patient’s medical record, the clinic’s EMR. It holds prescriptions with dose and anupana, day-wise therapy courses, therapy room bookings and pharmacy batches. You decide which branches, therapy rooms and medicine stores go on it first.

What goes wrong before the software.

Case sheets sit in paper files

A returning patient’s earlier prescriptions and prakriti notes are in a folder at the front desk. The vaidya often starts the visit without them.

Treatment courses are tracked by memory

A seven-day or fourteen-day course is planned in a diary. Which day a patient has reached, and which sitting was missed, is not written anywhere common.

Therapy rooms and therapists clash

Table time, steam rooms and therapists are booked by phone and on paper. A room can be promised to two patients at once.

Dispensary stock is counted by eye

Kashayams, choornams, tablets and oils are issued without a record. Batch expiry and reorder points are checked only when a shelf looks bare.

Oils and herbs used in therapy go uncounted

Taila, ghrita and herbs for kizhi are used in the therapy room but not matched to the patient or the course. Raw herb stock for in-house preparation is also tracked loosely.

Follow-up is left to the patient

A patient who finished a course or ran out of medicine is not contacted. Nobody sees who is due for review.

How it runs

How the work flows through it, step by step.

    Registration and appointment

    A patient books by phone, on WhatsApp or walks in. The front desk opens an existing record or starts one, and gives a token or a time with a vaidya.

  2. 2

    Consultation

    The vaidya notes complaints, history, prakriti and findings, then writes the diagnosis in the clinic’s own words. Earlier visits sit on the same screen.

  3. 3

    Prescription and course

    Medicines, dose, anupana and diet advice go on the prescription. If therapy is advised, a course is planned day by day with the therapy, room and therapist.

  4. 4

    Therapy and stay

    Each sitting is marked done by the therapist. For Panchakarma, the patient’s room and stay dates are recorded alongside.

  5. 5

    Dispensary and billing

    The dispensary issues medicines from batches in stock. One bill covers consultation, therapy, medicines and room charges, paid by cash, a UPI transfer or a swiped card.

    Follow-up

    A review date is set and reminders go out by WhatsApp or SMS. Patients whose medicines are about to finish appear in a list.

    Reception books appointments and walk-ins by vaidya, runs the token queue, and handles reschedules and cancellations from the same list.

    Review dates are set at the visit, and patients due for review or a medicine refill appear on a daily list for the front desk.

  • WhatsApp, SMS and Email Notifications

    WhatsApp and SMS messages go to patients whose review or refill date has arrived, sent straight from the follow-up record.

Common questions

Questions owners ask before a demo.

Does it support Ayurvedic terms like prakriti and anupana?

Yes. Case sheet and prescription fields use your clinic’s own terms. The headings are set up with your vaidyas during implementation.

Can it plan a Panchakarma course?

Yes. A course is laid out day by day with therapy, therapist and room, and each sitting is marked done. Your vaidya decides the content of each course.

Can the pharmacy track medicine batches?

Yes. Medicines are issued from batches with expiry dates, and reorder levels flag what is running low. The dispensary issues against the prescription on the patient’s record.

Can patients book online or consult over video?

No. Appointments are entered by the front desk after a phone call, a WhatsApp message or a walk-in. Teleconsultation is not included. A patient booking page is separate work. Reminders before a visit go out on WhatsApp or SMS.

Is a therapy course sold as a prepaid package?

No. A course is planned day by day and billed as the sittings are done. An advance against the course is recorded, but there is no prepaid balance of sittings.

Is GST charged on medicines and therapy?

Bill formats are set up by GullySystem staff as your clinic issues them. Whether GST applies to a medicine or a therapy is a matter for your accountant.

What records does an AYUSH or NABH inspection ask for?

That is for your own adviser to confirm, and no compliance is claimed here. The system keeps case sheets, prescriptions, sittings by therapist and room, medicine batches with expiry, and bills.

Can billing figures reach Tally?

Not built in. Billing and stock reports can be handed to your accountant from the software. A Tally link is priced as extra work at set-up.

Who owns the patient data?

You do. The proposal sets out, for case sheets and bills, how your records can be taken out.

What does it cost?

No price is published. It depends on vaidyas, therapy rooms and set-up, and a demo comes first, with the figure following in a written proposal.
