How to Automate an Ayurveda Clinic with Software

Start with one case sheet per patient
Most Ayurveda clinics keep several separate records. The register holds visits, the dispensary holds issued medicines, and the therapy wing keeps its own list of sittings. None of them shows the whole patient.
Start by moving these into one case sheet. It holds details, history, prakriti notes, allergies and every earlier visit. The vaidya opens it during the consultation and sees what was advised before. The front desk opens the same record to book, register and bill. Allergies stay visible on every screen that follows.
Link the prescription to the course
The vaidya writes the prescription with dose, anupana and diet advice. If therapy is advised, a course is planned from that same screen, day by day, with the therapy, room and therapist for each sitting.
Therapists see their own sittings for the day and mark each one done. Open courses show the day each patient has reached, so the desk knows who is due today and who missed yesterday.
The vaidya decides the content of every course. The software schedules, records and bills what has been advised.

Connect the dispensary and the bill
Medicines on the prescription open on the dispensary screen. The dispensary issues from batches with expiry dates, and stock falls as the bill is made. Reorder levels flag what is running low.
One bill then covers the consultation, therapy sittings, medicines and room charges. Advances are adjusted, and payment is taken by cash, UPI or card. Packages are counted sitting by sitting, or courses are charged by the day. The clinic chooses which applies.
The owner then reads one position for stock, instead of a dispensary list and a separate purchase book.
Close each visit with a review date
A review date is fixed when each visit and course closes. Reminders go to the patient by WhatsApp or SMS. Patients whose medicines are about to finish appear in a list for the front desk.
The owner reads the same records as reports. These show patients and revenue by vaidya, courses open, completed and missed, sittings by therapist and room, and medicines to reorder. No separate tally sheet is needed for any of them.
Patient registers and open courses are brought over from the paper register or current software, and the clinic checks them before launch.
When a register is enough
A vaidya who sees a few patients a day and writes prescriptions by hand can manage with a register. There is no therapy wing to schedule and no dispensary to count.
The case changes with several vaidyas, a therapy wing, in-patient Panchakarma rooms, or a dispensary holding many batches. Decide first which of these your clinic has. Then list the therapies, rooms and medicines you want entered.
