Run eye examinations, prescriptions, frames, lenses and lab orders from one patient record.

Optometrists examine eyes, write prescriptions and dispense frames, lenses and contact lenses. The optometry product keeps the examination, the prescription, the dispensing order and the lab job on one patient record. Recall lists bring patients back when a check is due.

At a glance

An optometry practice sells an eye examination and the correction that follows from it. The examination produces a prescription. The dispensing side turns that prescription into spectacles, lenses or contact lenses, and the patient expects one price, one collection date and one person who knows the whole story.

Those two sides often sit in different tools. The clinical record lives in one place and the optical stock in another. Lab orders go by paper or email, so a patient’s path from chair to collection is pieced together by hand.

How the work runs today

Walk-ins are common. The front desk books examinations, checks in patients and notes whether a visit is a routine check, a contact lens fitting or a follow up. The optometrist records history, visual acuity, refraction, eye pressure and findings, then writes the prescription and explains the options.

The dispenser helps the patient choose frames and lens types, takes pupil and fitting measurements, explains coatings and thickness, and raises an order for the lab. Lenses are cut at an outside or in-house lab, and the finished pair comes back for fitting and collection. Patients who wear lenses are given a trial pair, a review date and a supply plan.

The practice owner watches stock, supplier accounts, staff schedules and the recall list. It is a lot. Where a patient has insurance or a voucher, the claim paperwork is prepared for them. Each branch keeps its own diary.

Where it breaks

What goes wrong for optometrists without a proper system.

Prescriptions and orders live apart

The refraction is in the examination notes and the lens order is on a lab form. A change made at the dispensing bench never returns to the clinical record, so the next optometrist reads an old figure.

Lab orders are chased by phone

Lenses go out to a lab with a job slip. Nobody sees at a glance which pairs are late, which patient is still waiting for a collection call, or which lab has promised a date it did not meet.

Frame stock is counted by eye

Frame models, colours and sizes number in the hundreds. Without a code on each piece, sold and returned frames drift away from the shelf count.

Recalls depend on memory

Patients due for a yearly check or a lens review return only if someone remembers to call. A paper diary is rarely read. Gaps go unseen.

Lens supply is tracked loosely

Trial lenses, supply plans and aftercare visits sit in notebooks. Reorders slip. Review dates are missed whenever the usual optometrist is away from the desk and nobody else knows the arrangement.

What the software does

What we would build for optometrists.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Appointment diary by room and optometrist

Book examinations, fittings and collections against the test room and the clinician, with walk-ins, changes and reminders handled at the desk.

Examination and prescription record

Record history, acuity, refraction, pressure readings and findings, then issue a prescription that carries forward to every later visit.

Frames, lenses and dispensing orders

Raise an order from the prescription with frame, lens type, coatings and measurements, and see its status from quote to collection.

Lab job tracking

Send each job to the in-house or outside lab with a due date, and log receipt, inspection and the call to the patient.

Fitting and supply of contact lenses

Hold trial pairs, fitting notes, supply plans and aftercare dates, so a patient’s next order and review are known.

Optical stock with barcodes

Frames, lenses and solutions are counted by model and colour, each piece labelled, with reorder levels and orders to suppliers.

Recalls and patient reminders

Pull up everyone due an eye test or a lens review, and nudge them by SMS, email or chat.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions optometrists ask before they call.

Does it replace the examination equipment software?

No. Your autorefractor, tonometer or retinal camera keeps its own software. Readings and images that you export can be attached to the patient record, and what connects directly is reviewed during implementation.

Can one record cover the clinic and the optical shop?

Yes. The examination, the prescription and the dispensing order sit on the same patient record. Both people see the same details. Nobody retypes a prescription.

Does it handle insurance or voucher claims?

It records the cover a patient holds and prints the documents needed for a claim. Claim formats differ by insurer, by voucher scheme and by country, so any direct submission to a payer is scoped and quoted separately during implementation.

We run two or three branches. Is that supported?

Yes. Each branch keeps its own diary and stock. The patient list is shared. A patient examined at one branch can collect their glasses at another.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
