GullySystem
Healthcare · Audiology Clinic Management Software

One connected system for hearing tests, device fittings, trials, repairs and recalls.

Manage an audiology clinic in one system. Appointments are booked by audiologist and sound booth, and each patient’s history, audiograms, tympanometry results and devices sit on one record. Quotes, loan trials, fitting adjustments, repairs and annual retests all grow from those same entries. The desk sees what is due, what is out for repair and who owes a balance.

  • Hearing tests, device models and fee schedule loaded to match your clinic
  • Existing patients and fitted devices brought across
  • Form and device list changes made by GullySystem staff on request

Hearing clinics of every size keep tests, devices and aftercare in GullySystem, configured around their own booths and catalogue. Audiologists, dispensers and reception all open the same patient file. Each record carries history, audiograms, devices with serial numbers and warranties, trial dates, repairs and balances. Recalls for retests and warranty checks are listed for the desk.

Where it breaks today

What goes wrong before the software.

Test results are held apart

Audiograms stay inside the audiometer software on a single PC, while case history is on a card and the device sold is in a sales book. Nobody sees the whole patient.

Device and serial details are untraced

A repair or warranty claim needs the model, the serial number of the receiver and the fitting date. Staff search through paper invoices and manufacturer emails to find them.

Trial periods slip

A patient takes a behind-the-ear device on trial with a follow-up in two weeks, and without a prompt the trial drifts while the sale stays open. Stock sits out unsold.

Repairs go out and are not followed

A device leaves for the manufacturer with a slip, and nobody can say where it is or when it returns. Patients ring the desk and wait while someone checks the repair book.

Yearly retests are forgotten

Patients are advised to return each year for a retest, but the diary does not remind them. Warranty end dates pass unseen, and the loss and damage cover lapses with them.

Part payments are not tracked

A deposit is paid at ordering and the balance at fitting, and the amounts live in a notebook. Staff cannot say what a patient with a custom ear mould still owes.

How it runs

How the work flows through it, step by step.

  1. 1

    Booking

Bookings come in by phone, through the website or from a referring GP or ENT doctor. The visit is placed with an audiologist and a booth, and the referral letter is attached.

  2. 2

    Assessment

The audiologist records history and symptoms such as tinnitus or fullness, runs otoscopy and pure tone tests, and saves the audiogram to the record. Tympanometry results go in beside it.

  3. 3

    Advice and quotation

If a device is advised, the patient receives a quotation for a model and accessories and pays a deposit. Receiver-in-canal, behind-the-ear and in-the-ear styles are priced from your catalogue.

  4. 4

    Ordering and fitting

The device is ordered, programmed and fitted. Side, model and serial number are recorded with the warranty date, and real-ear measurement readings are saved so later adjustments start from them.

  5. 5

    Trial and adjustment

A follow-up is set. Settings changed at each visit, such as gain or a new program, are noted, and the patient decides whether to keep the device or return it within the trial.

  6. 6

    Aftercare and recall

Repairs, ear moulds, wax guards and batteries are handled from the record. Yearly retests and warranty checks are listed for the desk, with the patient’s preferred reminder channel shown.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Appointments by audiologist and booth

Book tests, fittings, fitting adjustments and follow-ups by audiologist and sound booth, with reminders to the patient by text. Cancelled slots return to the diary for the next booking.

Patient history and referrals

Keep case history, symptoms, referral source from a GP or ENT clinic, and notes on one dated record, so each visit starts from what was found before.

Audiograms and test files

Attach audiogram, tympanometry and speech-in-noise files exported from your audiometer software to the date of each test, and compare the latest result with the earlier curves at a glance.

Device and serial register

Record each device with model, side, serial number, fitting date and warranty end, and see every hearing aid a patient has owned. Receivers, domes and chargers are listed under it.

Trials and adjustments

Track the trial period, follow-up date and settings changed at each visit, and close the sale when the patient decides. Loan units are marked out and back in.

Repairs and ear mould orders

Send devices and ear impressions out with a job slip, and follow due dates, receipt and the fitting that follows. Swim plugs, custom moulds and manufacturer repairs each have their own status.

Quotations and part payments

Quote devices and accessories, take deposits and balances, and show what remains at each visit. A patient who pays by instalments sees the next amount and date.

Invoices and receipts

Raise invoices from the quotation, post receipts and print copies for the patient or an insurer, with the device serial number and fitting date shown on the line.

Batteries and accessories stock

Keep a running count of hearing aid batteries in sizes 10, 312, 13 and 675, plus domes, wax filters, tubing and cleaning kits, with reorder points that trigger supplier orders.

Recalls and warranty reminders

Pull up everyone whose retest or warranty check is due, then remind them over email, text or a chat app, and record who booked and who ignored the notice.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Appointment Scheduling

Tests, fittings and follow-ups are booked by audiologist and sound booth, and reminders cut down the visits patients forget.

  • Document Management

Files exported from the audiometer attach to the patient and the date of the test, so results open from the record.

  • Batch and Serial Tracking

Each device is held by serial number with its side, fitting date and warranty end, so a repair claim starts from the record.

  • Estimate/Quotation Management

Devices and accessories are quoted to the patient, accepted in writing, and the deposit and balance are tracked against that quote.

  • Job Work Management

Devices and impressions sent to a maker or laboratory are tracked by job slip, due date and receipt until the patient is told.

  • Invoice Management

Invoices follow from the accepted quotation, payments are posted, and a copy can be printed for the patient or an insurer.

  • Stock Tracking and Alerts

Batteries, domes and filters are counted with reorder levels, so the desk orders before a patient finds the shelf empty.

  • Service Reminders

Patients due for a yearly retest or near the end of a warranty are listed so the desk can contact them.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For the clinic owner

Watch sales by device, trials still running, repairs away and the money patients still owe, split by audiologist and by manufacturer.

For audiologists

See your booth list, each patient’s audiograms, devices and the programming adjustments made before, without opening a second program.

At the front desk

Run the diary, take payments, chase balances, log returned repairs and ring patients due back. Loan trials show on the same screen.

For dispensers

See quotations, orders placed with manufacturers, devices due for fitting and trials ending this week, with each patient’s deposit paid.

Reports

The numbers the owner asks for.

  • Devices sold by manufacturer, model and period
  • Loan trials open and ending this week
  • Repairs out with manufacturers and overdue
  • Warranties ending in the next quarter
  • Patients due for an annual retest
  • Balances due on part-paid device orders
  • Batteries, domes and filters to reorder
Good fit

Who this is built for.

  • Single-audiologist clinics
  • Clinics with several audiologists and sound booths
  • Hearing aid dispensers with a fitting service
  • Clinics that work with ENT doctors and refer patients both ways
  • Hearing centres run from several branches
Honest answer

When it is not the right choice.

  • A practice that only tests hearing and never sells a device may be content with filed audiograms and a paper appointment diary.
  • A hospital with wards and an ENT department will find a hospital product fits better.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your tests and device catalogue

Test types, manufacturers, models, receivers and accessories are entered with the fees you charge, so a quotation uses your own price list from the first day.

Trial and follow-up rules

Trial length and follow-up gaps follow your own policy, whether that is a thirty-day loan or a longer fitting period for a complex loss.

Patients and devices migrated

Your present software or sales ledger supplies patient names, fitted devices, serial numbers and warranty expiry dates, and reception checks a sample before you rely on it.

Forms and consent wording

Your existing case history sheets and consent pages go in as they are. Your legal advisers settle the wording, and the signed copy is stored against the visit.

Hosting and changes

The system runs on GullySystem hosting, and new device models or form changes are made for you on request.

Common questions

Questions owners ask before a demo.

Is it audiology software or general clinic software?

Audiology. Audiograms, device serial records, loan trials and repairs are the centre of it. A hospital with wards and an ENT department needs a different product.

Does it replace our audiometer software?

No. Tests are still run and saved there. Exported audiogram and tympanometry files attach to the patient’s record, and a deeper link to the audiometer can be scoped after a review.

Can it record devices by serial number?

Yes. Each device is held with model, side, serial number, fitting date and warranty end, and a patient’s full device history, including earlier aids and moulds, is on one screen.

How are hearing aid trials handled?

Each trial carries a fitting date, a booked follow-up and a final decision. The sale stays open until the patient keeps the device or returns the loan unit to stock.

Can it follow repairs sent to the manufacturer?

Yes. A job slip records what left, which manufacturer holds it, when it is due back and when the patient is told. Overdue repairs are listed for the desk each morning.

Does it send claims to insurers or schemes?

No. Claim formats differ by country and scheme. Records and invoices can be printed or exported for submission, with serial numbers and fitting dates on each line.

Can patients be reminded of yearly retests?

Yes. Patients due for a retest or warranty check are listed, and reminders go by the channel they prefer. Staff then see who booked and who has not replied.

Can we bring over our existing patient files?

Yes. Patient names, fitted devices, serial numbers and warranty dates load from your current software or ledger, and reception reviews a sample before you rely on it.

Who can see test results?

Only users given access. Roles set what each person sees, and what local privacy rules require is reviewed during implementation.

What does it cost?

No price is published. A quote reflects audiologist numbers, sound booths and the device catalogue to be loaded, and you see a demonstration before the proposal arrives in writing.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
