Appointment Calendar for Physiotherapy Therapists and Rooms
The calendar takes phone, online and walk-in bookings in one place. It is read by therapist and treatment room, and home visits and reschedules appear next to the day’s sessions.
Every booking on one calendar
Bookings come from calls, online requests and patients at the desk.
Recurring sessions
A plan of ten sessions is often booked in one sitting, such as every Monday, Wednesday and Friday at the same hour. The desk books the whole series together. A clash on one date is shown at that moment, not on the day itself.
Who reads it
Reception manages the calendar for the whole clinic. Each therapist sees only their own day with the patient’s last note beside each name. Owners look across therapists and branches to see where the hours are free.
What the clinic sets, and what is left out
The clinic sets session lengths, working hours, break times and how many patients one therapist sees at once. Treatment is not decided here, and neither is the number of sessions a condition needs. Those stay with the therapist.
Frequently asked questions
Can patients request an appointment online?
Yes. An online request lands on the same calendar as a phone booking, and the desk confirms it once the therapist and room are free.
Is a series of sessions booked together?
Yes. The desk picks the days and the hour, and the whole series is placed on the calendar in one step. Single dates can still be moved.
How does a therapist who works at two branches appear?
She has one calendar with her hours at each branch. Reception at either branch can see where she is on a given day.
Does the system send a reminder before the session?
A reminder message goes out before the visit over WhatsApp or SMS. The wording and the lead time are set with the clinic.
