Each role and its view

The same patient and the same session are seen differently by each person.

Clinic owners

Sessions done by therapist and branch, package money received, therapist payouts due and the patients who stopped coming.

Front desk

The calendar, patient registration, package balances, bills and the daily call list, which together cover everything reception handles in a day. Clinical notes can be hidden from this role.

Therapists

Their own patients for the day with earlier notes and plans, plus a place to write the session note and send the exercise sheet before the next patient walks in.

Visiting consultants

Only their own patients, their own sessions and the share due to them for the month. Other therapists’ cases are not shown.

Branch managers

The day’s sessions and takings for one branch, stock to reorder and attendance of the team there.

Phone and desk

Therapists often work from a phone between sessions. The same views open on a phone as on the desk computer. A therapist on home visits sees the day’s addresses in order, with the patient’s last note under each.

Patient privacy by design

A patient’s clinical history is health information. The clinic chooses who can open it and who can only see billing. That is set once per role. Our team changes it on request.

What the clinic decides

The clinic names its roles and decides what each may open, edit or export. Legal duties around patient data are a matter for the clinic and its advisor. The system records who opened or changed a record, and when.

Frequently asked questions

Can reception be stopped from reading clinical notes?

Yes. The desk can be limited to registration, calendar and billing, with the notes hidden unless the owner chooses to show them.

Can a therapist see another therapist’s patients?

Only if the clinic allows it. Many clinics let a therapist see every patient so cover is easy, and others limit it to assigned patients.

Is there a separate view for a doctor who refers patients?

No. Referring doctors get updates from the clinic by message. Separate access, if wanted, would be scoped with the clinic.

Who can change a role’s access?

The owner decides, and a request to our staff gets the change made. Each change is dated, so the clinic can see who had access when.
