Treatment Plans and Session Packages for Physiotherapy
A treatment plan lists the problem, the goals and the sessions suggested. A package sells those sessions in advance, and each completed visit is taken off the balance until the plan ends.
The plan and the package are separate
A plan is clinical and a package is commercial. Both stay against the same patient.
When a plan changes
A therapist may add sessions after a review, or end a plan early when goals are met. The balance is adjusted to match. A patient who moves to a longer plan is shown the difference before agreeing, and a record is kept.
Who uses it
Therapists set the plan and mark sessions done. Reception sells the prepaid sessions and watches the balance. Owners read the money received in advance against the sessions still owed to patients across the clinic.
What the clinic decides
- Package sizes and the rate for each.
- Whether unused sessions expire, and after how long.
- Whether a package can be shared by two family members.
- How a refund or a transfer is handled when a patient stops.
What it does not do
The system counts sessions and applies the clinic’s rules. It does not decide how many sessions a patient needs or when they should stop. The clinic’s accountant decides how advance money is booked.
Frequently asked questions
Can a patient start a package after a few paid visits?
Yes. Earlier paid visits stay as they were billed, and the package starts from the next session.
Does a missed session use up the package?
Only if the clinic’s rule says so. Some clinics count a no-show and others do not, and the rule is set once for everyone.
Can one set of prepaid sessions cover two body areas?
Yes. The sessions belong to the patient and can cover more than one complaint, if the clinic sells them that way.
What happens when the balance reaches zero?
The patient is shown on the follow-up list, so the desk can offer a renewal or the therapist can close the plan.
