Begin with the calendar and the patient record
Many clinics keep the appointment diary, the case file and the fee register as three separate things. The calendar is the place to start, because every other record hangs off a booked session.
Book first visits, follow-ups and home visits by therapist and by treatment room. Walk-ins, reschedules and cancellations go on the same screen.
Each patient has one record. It holds registration details, the complaint, medical history, the referring doctor and every earlier course of treatment. Patients and open package balances are loaded from the paper register first.
Record assessments and session notes in your own format
The first assessment captures findings and goals. A short note follows each session. The clinic sets the headings, so the notes read the way its therapists already write.

Count packages and bill from sessions done

A package is sold once. Each completed session then comes off the balance, and the front desk sees sessions left and the end date.
