Session Reminders and Follow-up for Physiotherapy Clinics
Reminders go out before each session, and call lists show patients who missed a visit, ran out of sessions or are due a review. The desk works from the list instead of memory.
Before the session
A reminder goes to the patient before each booked visit, through WhatsApp, text or email. The clinic chooses the wording and the lead time. Replies can confirm the visit or ask for another time.
Lists for the desk
Each morning the desk sees the patients who need a call.
Who acts on it
Reception makes the calls and records the outcome. Therapists see which of their patients are slipping. Owners read how many patients return after a gap and how many do not.
What the clinic decides
The clinic decides what each message says, how many days before a visit it goes and whether someone who has not responded is contacted again. Those who ask not to be messaged are marked and left off the lists.
What it does not do
It does not persuade patients to continue treatment. A call list is only a prompt. The message platforms charge their own fees, and the clinic takes the account with the WhatsApp or SMS provider.
Frequently asked questions
Can reminders be turned off for some patients?
Yes. Anyone who prefers calls, or has asked for no messages, is marked on the record and skipped.
Does it send messages in Kannada or Hindi?
Yes. Reminder text is written in the languages the clinic uses, and each patient can be set to one of them.
Is the outcome of a call recorded?
Yes. The desk notes whether the patient will return, wants to wait or has stopped, so the same patient is not called twice a week.
Can a message be sent to every patient at once?
Yes. A notice about a holiday closure or a new branch can go to all patients, or to a chosen group such as post-knee-surgery patients.
