Recreation and entertainment · Software for campgrounds and RV parks

Hold every pitch, hookup, deposit and arrival date on one calendar.

Campgrounds and RV parks sell the same pitch many times a season, to guests who arrive on different days with different rigs. The campground software keeps pitch bookings, hookup types, deposits and the camp store in one place. Seasonal and long-stay accounts are billed on their own cycle. Utility meter readings are added as part of the set-up work.

At a glance

A park may hold tent pitches, full-hookup bays, cabins and a seasonal block, all sold from one gate office. Each type has its own rate and its own length limit. Guests book by phone, by web form and at the gate. Rules vary. Pets, fires and quiet hours differ by pitch.

Campground and RV park software starts with the pitch calendar, because every other record hangs from it. Deposits, store sales, meter readings and cleaning tasks all point back to a pitch and a stay. A working session follows one booking from enquiry to checkout.

How the work runs today

The office opens before the first checkout. Overnight arrivals who came late are matched to their pitch, the gate list is printed for the day, and rigs that are too long for the booked bay are moved. Staff answer the phone while a guest at the counter asks for firewood, ice and a spare adaptor. Cabin turnover is chased with the cleaning crew by radio. It is a busy hour.

Seasonal guests pay by the month and run on the electricity meter. Long-stay rigs need a reading each cycle and a bill that adds the units used. In the evening the office reconciles the store till, the gate cash and the card slips, then sets tomorrow’s arrivals against pitches that are free. Quiet complaints and fire-ban notices are logged for the manager. Then the gate closes.

Where it breaks

What goes wrong for campgrounds and RV parks without a proper system.

Pitches are sold twice

A phone booking is written in a diary and a web booking arrives in an inbox. Two parties turn up for one bay, and the gate staff have to decide who leaves. That is a bad start.

Hookup and length limits are not checked

A large rig is booked into a bay with the wrong power supply or too little room. The mismatch is found at the gate, with the guest already in the queue.

Seasonal bills depend on a meter reading

Meter readings are written on a clipboard and typed in later, often a day or two after the round was walked. A missed reading means an estimated bill, and the guest questions it.

Deposits and cancellations are unclear

The deposit taken, the date it falls due and the cancellation terms sit in different places. Refunds are argued from memory.

Store stock runs out unnoticed

Firewood, gas bottles and ice sell fast on a holiday weekend, and the till does not warn anyone. The shelf is empty before anybody sees the count.

What the software does

What we would build for campgrounds and RV parks.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Pitch calendar and bookings

Hold every pitch, cabin and bay on one calendar by type, with the rig length, hookup and dates checked before a booking is confirmed.

Rate plans and deposits

Set nightly, weekly and seasonal rates by pitch type, with the deposit due and the cancellation terms stored on each booking.

Arrivals and gate list

Print the day’s arrivals and departures, record the actual check-in and note the vehicle and rig details at the gate.

Seasonal accounts and meter readings

Bill seasonal and long-stay guests each cycle from the meter reading entered on a phone, with units and pitch rent on one statement.

Camp store and stock

Ring up firewood, ice, gas and snacks at the counter, and see stock fall against a reorder level set for each line.

Cleaning and grounds tasks

Assign cabin turnover, toilet block rounds and grounds jobs to named staff, and see which pitch is ready for the next arrival.

Guest notices and incident log

Record noise complaints, fire bans and lost property against the pitch, and push notices to campers by email, text or chat.

Common questions

Questions campgrounds and RV parks ask before they call.

Can guests book a pitch on our own website?

Yes. A booking page shows free pitches by type for the dates chosen. Once confirmed, the stay appears on the calendar at the gate. The link to your current website is worked out at the first workshop with you.

Does it handle seasonal guests who pay monthly?

Yes. A seasonal account carries the pitch rent, the cycle and the meter readings. Each statement adds the units used. A guest who leaves mid-season has the account closed with a final reading.

Do we need it for a small park with a few pitches?

Not always. A park with a dozen tent pitches and no store can run on a paper chart. Add cabins, hookups and a seasonal block, and double bookings begin.

Can several gate staff use it at the same time?

Yes. Each person signs in with a role, so the gate sees arrivals, the store sees stock and the manager sees takings. Everyone reads one calendar, and a change shows at once.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
