GullySystem
Recreation · Golf Course Management Software

One connected system for the tee sheet, members, carts, the pro shop and the grounds.

Manage tee times, member and visitor rates, handicap numbers, cart hire, the pro shop, range tokens, tournaments and grounds work in one system. Each booking carries its players, its fees and its extras. Starters, the shop, the clubhouse and the greenkeepers read the same sheet, and a weather closure can be handled in one pass.

  • Tee intervals, player types and rate cards follow how you sell your rounds
  • Member lists, handicap numbers and open accounts brought in
  • GullySystem staff adjust rates and tee sheet rules on request

GullySystem configures Golf Course Management Software for golf courses and driving ranges, covering tee sheets, rates, carts, pro shop sales and tournaments. Each booking carries the players, the fee for their type and any cart or lesson added. Starters and the shop read one sheet. Greenkeepers see grounds jobs beside the tee times they affect.

Where it breaks today

What goes wrong before the software.

Bookings come in through separate lists

Phone calls, web bookings and member reservations are kept apart. A slot looks full on one list and empty on another.

The right rate is hard to find

Member, visitor, junior, twilight and society fees vary by day and time. A printed card is the only reference at the counter.

Weather closures are handled by phone

When a course shuts, each group is called in turn. Some players are missed and arrive anyway.

Carts and clubs have no service record

A cart’s hours, battery charge and repairs are remembered, not written. One that needs attention goes out again.

Grounds work ignores the tee sheet

Mowing and spraying are planned in a notebook. A crew can meet the first group at the green.

Society and tournament days are managed by email

Entries, deposits, groupings and menus are spread across messages. The organiser waits for a final list.

How it runs

How the work flows through it, step by step.

  1. 1

    Booking

A starter, the shop or a web page adds a group to a tee time. The player type decides the fee.

  2. 2

    Extras

Cart hire, club rental, lessons and range tokens are added to the booking, with each charge shown before play.

  3. 3

    Arrival and start

The starter checks the group in, assigns carts and releases it from the tee on time.

  4. 4

    Round and clubhouse

Bar and food charges join the tab. Scores and handicap numbers are recorded for members who enter a card.

  5. 5

    Close of day

The shop reconciles green fees, carts, retail and range. Takings are totalled against the day’s rounds.

  6. 6

    Grounds and follow-up

Greenkeepers log the work done. Players are sent a message about the next booking window or event.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Tee sheet and bookings

Set tee intervals, player counts and blocks for societies, and take bookings from the shop, the starter and a web page.

Rates and green fee billing

Define fees by player type, day, season and time, and charge the right fee as each player is added to a group.

Members and handicaps

Hold member category, dues, family links and handicap number, with rounds played shown against each account.

Cart and equipment hire

Assign carts and hire clubs to a booking, track hours and battery charges and schedule a service for each unit.

Pro shop and range

Sell clubs, balls, apparel and range tokens, with stock by size, supplier orders and returns.

Lessons and coaching

Schedule lessons with each coach, record who attended and bill the player or post the charge to the member account.

Tournaments and society days

Take entries and deposits, set groups and starting holes and print scorecards and results for each event.

Clubhouse tabs and dining

Open a tab for each group at the bar or the grill, and settle it with the green fee at the end of the round.

Grounds and maintenance planning

Plan mowing, aeration, spraying and bunker work by hole, with each job shown against the tee sheet and machine hours logged.

Weather closures and messages

Select the tee times lost to a closure, notify each golfer by email, SMS or chat app, then rebook or refund under your own policy.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Resource and Room Booking

Each tee time is a bookable slot with a group size, and society blocks are held so a visitor cannot take them by mistake.

  • Online Booking Portal

A web page shows open tee times and takes the fee or deposit, with members given their own earlier booking window.

  • Price Lists and Schemes

Fees by player type, day, season and time band are held in one card, and the right one is applied as each player is added.

  • Contact & Account Management

Each member and family is held on one account with category, handicap number and rounds played, so the shop answers at the counter.

  • Asset AMC Tracking

A cart’s hours and service dates are kept against the unit, so a vehicle due for repair is flagged before it goes out.

  • Point of Sale Billing

Clubs, balls, apparel and range tokens are rung at the counter, and stock by size falls as each line sells.

  • Task Management

Mowing, aeration and bunker jobs are given to named greenkeepers by hole and date, then checked against the tee sheet.

  • WhatsApp, SMS and Email Notifications

When the course closes, affected players are told by email, SMS or messaging, and each reply is recorded on the booking.

  • Green fee income by rate
  • Cart use and servicing due
  • Pro shop sales and stock by line
  • Tournament entries and deposits

Good fit

Who this is built for.

  • Eighteen-hole and nine-hole golf courses
  • Driving ranges and par-three courses
  • Private clubs with a member tee sheet
  • Public and resort courses that sell visitor rounds
  • Courses that host societies, corporate days and tournaments
Honest answer

When it is not the right choice.

  • A course with a handful of regulars, no carts and no shop can run on a paper sheet and a cash tin.
  • A members’ clubhouse with courts, rooms and a restaurant as well will find Country Club Management Software closer.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Tee sheet rules

The starter’s routine decides tee spacing, group size, member windows and visitor limits.

Rate cards

Each player type, season and time band is entered with its fee, as it appears on your printed card.

Carts and equipment

Your cart fleet, hire clubs and ranger vehicles are listed with their service intervals.

Receipts and local tax

Green fee receipts show the currency and tax rates of the country the course is in, agreed with you at implementation.

Handicap links

A link to your national or regional handicap body is scoped during implementation, as rules vary by country.

Where it runs

The software runs on GullySystem servers, and the shop, starter and greenkeeping team read one set of records.

Common questions

Questions owners ask before a demo.

Can visitors book and pay online?

Yes. A visitor picks a slot, adds carts or lessons and pays a deposit or the full fee. A member books in their own window. Both appear on the sheet the starter reads.

How do you handle a closed course?

Choose the tee times the closure hits and send every golfer a notice by email, SMS or messaging. Each can take a later slot, a credit or a refund, according to your own policy.

Can rates change by season and time?

Yes. A fee card is built by player type, day and time band. A twilight round and a winter round each pick their own rate when the group is booked.

Does it track cart servicing?

Yes. Each cart carries its hours and its next service date. One due for attention is flagged to the shop and left off the allocation list.

Can we run a society day from it?

Yes. The organiser’s entries, deposits and group sizes sit on one event. Groupings and starting holes are set, and scorecards print from the same entry.

Can it take charges from the clubhouse till?

It can, where the till supplier can send charges. If it cannot, the grill and bar takings are added as a daily summary instead.

Can the grounds crew open it out on the course?

Yes. A greenkeeper opens the day’s jobs, sees the tee sheet beside them and logs machine hours on the same screen.

Can members and handicaps be moved over?

Yes. Your member register, with handicap numbers and account balances, is brought in, and the pro shop team reviews it before the first tee time is booked.

Who owns the records?

Your course does. The proposal states which export format covers tee sheet, member and takings records.
