Recreation · Campground Management Software

One connected system for pitches, stays, meters, the camp store and the grounds.

Manage pitch and cabin bookings, rate plans, deposits, arrivals, seasonal accounts, pedestal meters, the camp store and grounds tasks from one screen. From first enquiry to checkout, a stay keeps the pitch, the guest, the charges and the balance together. The warden, the office and the grounds crew read the same calendar.

  • Pitch types, hardstanding and grass fields, rate plans and seasons keyed in as you sell them at the gate
  • Bookings already taken, seasonal guests and deposits brought over
  • Rate and pitch type changes handled by GullySystem staff when you ask

Campground Management Software from GullySystem serves campgrounds and RV parks that handle pitch bookings, arrivals, seasonal accounts, pedestal meter readings and a camp store. Each stay carries the pitch, the rig details, the deposit and the charges posted to it. Gate staff see the day’s arrivals. Grounds crews see which pitch is ready, and the office sees every balance.

Where it breaks today

What goes wrong before the software.

Bookings arrive by several routes

A caller, a web form and a family at the barrier each make a booking of their own. Without one calendar, the same pitch is promised twice.

Pitch details are held in the manager’s head

Which bay has a 50-amp pedestal, which slopes, which is a pull-through, which allows a slide-out. The answer depends on who is on duty.

Seasonal billing waits on clipboards

Pedestal readings are written on rounds and typed up later. Statements are late and rest on estimates.

Deposits and cancellations are scattered

The amount paid, the due date and the cancellation terms sit in a mailbox, a card terminal report and a diary.

The store and the office keep separate books

Firewood, kindling, propane bottles and ice are sold at the counter. Stock and takings are reconciled by hand at the weekend.

Cleaning is not linked to arrivals

Cabins are turned over when the cleaner remembers. The next guest waits at the barrier while the key is still in the lock.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry

A guest asks by phone, web form or message. The dates, party size, rig length, awning, pets and hookup needs are recorded with the contact details.

  2. 2

    Booking and deposit

A pitch that fits the rig is held at the rate plan for those dates. The deposit is taken and the cancellation terms are stored with it.

  3. 3

    Arrival

The warden opens the day’s list, checks the guest in, notes the vehicle and hands over the pitch details, quiet hours and park rules.

  4. 4

    Stay

Store sales, activity fees and pedestal units post to the stay. Requests and complaints are logged against the pitch.

  5. 5

    Checkout

The final account is settled, the deposit is applied and the pitch is marked for cleaning or a fire ring and picnic table check.

  6. 6

    Follow-up

Guests receive a thank-you message and an offer for the next season. Seasonal guests are billed on their own cycle.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Pitch calendar and availability

See every pitch, cabin, yurt and bay by date, with hookup type, length limit and features, so only a suitable site can be booked.

Reservations and online booking page

Take bookings from the gate, the office and a web page, all landing on one calendar with party size, dates and rig details.

Rate plans and seasons

Set nightly, weekly, monthly and seasonal rates by pitch type, with peak dates, minimum stays, pet fees and extra-vehicle charges.

Deposits, folios and invoices

Hold the deposit, post charges to each stay and issue the final folio or tax invoice with the balance clear.

Seasonal and long-stay accounts

Bill monthly and seasonal guests on their cycle, with pitch rent, pedestal units and late balances shown on one statement.

Utility meters and readings

Record electricity and water readings per pedestal on a phone during rounds, and compute units used between two readings.

Camp store and stock

Sell firewood, kindling, ice, propane and snacks at the counter. Post the sale to a stay or take payment, and watch stock against reorder levels.

Cleaning and grounds tasks

Assign cabin turnover, shower block rounds, dump point checks and grounds jobs to staff, and see each pitch’s ready status on the gate screen.

Guest requests and incident log

Record complaints, repair requests, lost property, noise after curfew and fire-ban notices against a pitch, with an owner and a close date.

Guest messages and reminders

The stay record sends booking confirmations, deposit reminders and arrival directions to guests by text, email or chat.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Online Booking Portal

A web page shows free pitches for the dates a guest chooses, and the booking joins the calendar the gate staff read.

  • Resource and Room Booking

Each pitch, cabin and bay is held as a bookable resource with its supply type and length limit, so a rig meets a bay that fits.

  • Price Lists and Schemes

Nightly, weekly and seasonal rates sit against each pitch type, with peak dates and minimum stays applied when the booking is priced.

  • Invoice Management

Charges posted during the stay roll into one folio, which becomes the tax invoice once the deposit is applied and the balance is settled.

  • Subscription Billing

A monthly or seasonal guest is billed on a fixed cycle for pitch rent, with the units from the latest pedestal reading added each time.

  • Point of Sale Billing

Firewood, ice and propane bottles are rung at the counter and either paid at once or charged to the guest’s stay.

  • Task Management

Cabin turnover and shower block rounds are given to named staff with a due time, and a finished task turns the pitch to ready.

  • WhatsApp, SMS and Email Notifications

Confirmations, deposit reminders and arrival instructions are sent from the stay record by email or SMS in wording the park has approved.

For gate and reception staff

Open the day’s arrivals, check guests in and out, and take payment for store sales at the barrier or counter.

For grounds and cleaning crews

Open the day’s cabins, shower blocks and pitch jobs on a handset, and tick off each as it is finished.

Reports

The numbers the owner asks for.

  • Deposits held and balances due
  • Seasonal accounts with pedestal units used
  • Store sales and stock by line
  • Cleaning and grounds tasks completed
  • Cancellations and no-shows by month
Good fit

Who this is built for.

  • Campgrounds that sell tent pitches, cabins, yurts and glamping units
  • RV parks with full-hookup pull-through bays and monthly or seasonal guests
  • Holiday parks that mix touring pitches with static caravans and chalets
  • Parks that run a camp store, a laundry or an activity desk
  • Owners who take bookings by phone, web and at the gate
Honest answer

When it is not the right choice.

  • A small farm field with a handful of tent pitches and no store can run on a paper chart and a cash box.
  • Large resorts with several restaurants and spa rooms will find Hotel Management Software closer to how they work.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your pitches and hookups

Each bay, cabin and tent field is entered with its supply type, hardstanding or grass, length limit and features, in the order you sell them.

Rate plans and house rules

Peak dates, minimum stays, pet fees and extra-vehicle charges follow the rules printed in your booking terms.

Seasonal guests and balances

Long-stay guests, their last pedestal readings and what each still owes are copied in from your ledger or sheet.

Currency and tax settings

Folios and invoices carry the currency and tax of the country the park sits in, confirmed with you during installation.

Messages to guests

Guests hear from the park by text, email or chat, and you approve the wording of every template.

Hosted by GullySystem

GullySystem hosts the software, so the gate, the office and the grounds crew read one set of records.

Common questions

Questions owners ask before a demo.

Can it stop us booking a large rig into a short bay?

Yes. The booking asks for rig length, awning and hookup need. Only pitches that fit are offered for those dates. A manager can override a limit and the override is logged.

How are seasonal guests billed?

A seasonal account holds the pitch rent and a billing cycle. The pedestal reading entered on rounds gives the units, and the statement adds them. The guest sees one document.

Can guests book from our own website?

Yes. A booking page shows free pitches by type for the dates chosen and takes the deposit. A booking made there joins the calendar used at the gate.

Does it handle cancellation terms?

Each booking stores the terms that applied when it was made. A cancellation is calculated from those terms, and the refund or the retained deposit is recorded.

Can the camp store use it as a till?

Yes. A sale is rung at the counter, charged to a stay or paid on the spot, and stock falls by line. Weekend reconciliation is a report, not an evening of counting slips.

Do cleaners and grounds staff need a login?

Yes, a simple one. A cleaner opens the list on a phone, sees the cabins due and marks each ready. The gate sees the status without ringing anyone.

Can open bookings and seasonal accounts be moved over?

Yes. Your diary or spreadsheet supplies the bookings, deposits and seasonal balances, and the office compares them with the paper diary before the first guest checks in.

Does it work when mobile signal is poor?

It runs online. A pedestal round in a field with no signal waits until the phone reconnects. Readings can be noted on paper and entered at the office.

What happens to our records if we stop using it?

Your guest, booking and account records are yours. What you receive when you leave, and how soon, is agreed in advance as part of the proposal.

How do we find out what it costs?

You see the pitch calendar and the folio working on sample data first. A written proposal follows, based on how many sites, users and extra modules your park needs.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
