Recreation and entertainment · Software for escape rooms

Run bookings, game masters, props and group payments from one record.

Escape room software holds every room, time slot, group booking and deposit in one place. Game masters see their shifts and the next team through the door. Owners see which rooms fill, which props need repair and what each corporate event owes. Nothing is retyped.

At a glance

An escape room business sells a fixed number of seats in a fixed number of hours. Once a slot passes empty, that revenue is gone. The work is to fill each room, reset it on time and keep the puzzles in working order between teams, day after day, across every theme you run.

Booking widgets, a shared calendar, a payment app and a waiver folder usually sit apart. Staff copy details from one to another. A GullySystem set-up joins them, so a booking, its payment, its waiver and its game master live on one record.

How the work runs today

Before opening, the manager checks the day’s bookings against the rota. Each room has a game master and a reset window between teams. Players arrive in groups of two to eight, sign a waiver, hear the briefing and are led to the room. During play the game master watches a feed and sends hints when a team stalls. Afterwards the team may buy photos or merchandise. Then the room is reset.

Behind the counter, other work runs all week. Corporate and birthday groups ask for private slots and a quote. Gift vouchers are sold and redeemed months later. Locks, sensors and props wear out and need a repair note. Reviews and repeat visits depend on how smoothly each step went, from the first booking message to the thank-you after play.

Where it breaks

What goes wrong for escape rooms without a proper system.

Slots are sold in two places

A booking made on the website and one taken by phone can land on the same room and time. The calendar and the booking tool are kept by different people, and neither sees the other.

Late groups and no-shows go unrecorded

A team of six cancels an hour before the slot. Nobody notes whether a deposit was taken. The loss repeats.

Props fail without a repair history

A lock sticks, a sensor drifts, a clue goes missing. Staff fix it on the spot. The same fault returns next week with no record of the last repair.

Vouchers and deposits sit in separate lists

Gift vouchers, promo codes and part payments are tracked in different sheets, so redemptions months later are hard to match to what was sold and what balance remains.

Game master shifts are set by message

Rotas change through chat threads. Cover for a sick colleague is arranged late, and the owner finds out who worked only when the month closes and the pay is due.

What the software does

What we would build for escape rooms.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Online booking and room slots

Publish each room with its slots, group sizes and rates. Customers book and pay on a page that shows only what is still free, and the booking lands on the room calendar at once.

Room calendar and reset windows

See every room across the day, with the reset gap between teams built in, so that a slot is never sold on top of a cleaning window or a late game master.

Group check-in and waivers

Record each player’s waiver, the head count and any late arrivals at the counter, then pass the team to the game master with the briefing notes for that room already open.

Deposits, vouchers and receipts

Take deposits and full payments, sell gift vouchers, apply promo codes and issue a receipt for each. The balance stays clear on the booking, so the counter never has to ask.

Private events and corporate quotes

Quote team-building and birthday groups by room, headcount and extras, then follow each quote through revisions to confirmation and invoice, so a corporate buyer always sees the latest figure.

Prop and puzzle repair log

Note every fault against a room and a puzzle, assign the fix and keep the history, so that a lock which fails every second week finally stands out to the manager.

Game master rota and hours

Build the weekly rota by room, record hours worked and keep cover requests in one list. Nobody has to scroll a chat thread to learn who is opening on Saturday.

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

Common questions

Questions escape rooms ask before they call.

Can customers book and pay online?

Yes. Each room shows its open slots and group sizes, and the customer pays a deposit or the full amount before the booking is held on the calendar.

Does it work for a business with only one or two rooms?

Yes. Two rooms still gain from one calendar and one payment record. A single-room owner who takes a handful of bookings a week may manage with a simple tool.

Can we keep our current booking widget?

Often, yes. Whether it can connect depends on what the widget exposes, and that is checked during implementation. If it cannot, the booking page here takes its place.

How are waivers handled?

Each player’s signed waiver is stored on the booking. The wording and local rules for minors are set with you and reviewed during implementation.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
