Recreation · Swimming Pool Company Management Software

One connected system for pool builds, weekly service routes, water tests and repairs.

Manage pool enquiries, design quotations, construction stages, weekly service routes, water chemistry readings, chemical stock, repair calls and seasonal opening and closing in one system. Each pool carries its volume, equipment, warranties and balance from the first site visit to its tenth summer. Technicians log each visit on a phone. Nothing is retyped.

  • Pool types, equipment list and standard chemical doses keyed in from your own quotes and service sheets
  • Customers, route sheets and open balances imported
  • Stage and service invoices follow the tax rules and currency of your country

Swimming Pool Company Management Software suits firms that build, renovate and service pools, with quotations, construction stages and weekly routes in one place. GullySystem configures it. Each pool holds its equipment, warranty dates, water readings and invoices. At each stop the technician logs chlorine, pH and chemicals added on a phone. Repairs are priced by the office from that same pool record.

Where it breaks today

What goes wrong before the software.

Readings live on clipboards

Chlorine, pH and alkalinity are jotted at every stop, and the sheet reaches the office only when the week ends. A customer asking about last month’s algae gets a search through a stack of paper. It takes hours.

Equipment details are not tied to the pool

A pump, a salt cell and a heater each have a model, an install date and a warranty. When the unit fails, nobody can say which one was fitted or who supplied it.

Stage payments are raised late

A shell passes its steel inspection and the plumbing test, but the matching invoice is written weeks later. Cash for the next load of materials runs short.

Chemicals vanish between depot and route

Chlorine tablets, acid and shock are loaded onto trucks by hand. The route that used a drum too many is not found until the next stock count. Then it is too late.

Repair quotes are slow to follow the visit

A technician sees a cracked skimmer or a worn pump seal and mentions it to the office by phone. The quote goes out days later. The customer has already called a rival.

The spring opening list is a spreadsheet

Every customer wants the cover off and the pool balanced on the same two weekends. One dispatcher understands the sheet, and nobody else can adjust it.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry and site visit

A homeowner or developer asks for a new pool or a renovation. The sales lead visits, records the space, the soil notes and the wish list, and attaches photographs.

  2. 2

    Design and quotation

Shell type, dimensions, decking, equipment and finishes are priced from your catalogue. The customer receives a written quotation. He approves or revises it.

  3. 3

    Construction stages

The job moves through excavation, steel, plumbing test, shell, tile, plaster and first fill. Inspections are signed off and each stage invoice is raised.

  4. 4

    Handover to service

The pool’s equipment, warranties and start-up readings are recorded. It then joins a weekly route with its agreed service plan.

  5. 5

    Route visits and repairs

Technicians record water chemistry, chemicals added and findings. A fault becomes a repair call or a quotation for the office to price.

  6. 6

    Seasons and renewals

Opening and closing jobs are scheduled ahead. Service plans are reviewed before they lapse.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Pool records and equipment register

Hold each pool’s volume, surface, depth profile and equipment, with pump, filter, heater, cover and salt cell install dates and warranty end dates.

Enquiries and site surveys

Log each enquiry, schedule the site visit and keep the measurements, soil notes and photographs with the customer.

Quotations and design options

Price shell, coping, decking, lighting and equipment as options, keep each revision, and convert the signed quotation into a build job.

Construction stages and inspections

Track a build from excavation through steel, plumbing test, shell, tile, plaster and fill, with a sign-off recorded for each inspection.

Stage invoices and receipts

Raise a stage invoice when a milestone is signed off, post deposits and receipts, and show what is outstanding on each build.

Weekly routes and water test log

Plan routes by day and technician, record chlorine, pH, alkalinity and stabiliser for every stop, and keep the history for each pool.

Chemical stock per truck

Record the chlorine, acid, stabiliser and shock loaded onto each truck and compare it with the doses logged against visits.

Repair calls and replacement quotes

Turn a finding on a visit into a repair call, price it from the parts and labour list and track it to completion.

Opening, closing and service plans

Schedule seasonal openings and closings, hold weekly service plans per pool and flag renewals before they expire.

Subcontractors and crews

Assign excavation, steel, tile and plaster crews to each build stage, and record their agreed rates and payments.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Lead Management

Every pool enquiry is logged with its source, the survey is scheduled, and measurements, soil notes and photographs stay on the customer’s record.

  • Estimate/Quotation Management

A pool is priced as shell, coping, decking, lighting and equipment options, with each revision kept until the customer signs one.

  • Work Order Management

A build becomes a job that moves from excavation to first fill, with the inspection sign-off recorded at each stage.

  • Invoice Management

When a milestone such as steel or plaster is signed off, a stage invoice is prepared, and deposits and receipts are matched against it.

  • Technician Scheduling

Dispatchers lay out the week’s routes by technician and day, and a rained-off day can be moved to another without rebuilding the list.

  • Stock Tracking and Alerts

Chlorine, acid, stabiliser and shock loaded on each truck reduce as doses are logged on visits, and low containers raise an alert.

  • Ticket Management

A cracked skimmer or worn pump seal becomes a numbered call with an owner, a quotation and a completion note.

  • Asset AMC Tracking

Pump, filter, heater and salt cell each carry an install date and warranty end, so a failing unit is checked for cover first.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For owners

See builds by stage, routes by technician, repair quotes open and chemical cost against service revenue.

For sales and design staff

Log enquiries, survey sites, build option-based quotations and follow them until they are signed.

For build supervisors

Move each pool through its stages, record inspections and sign-offs, and hand over equipment records.

For service technicians

Open the day’s route on a phone, record water readings and chemicals added, and flag repairs.

For dispatchers

Plan routes, move visits when weather stops work and schedule the spring opening list.

Reports

The numbers the owner asks for.

  • Builds by stage and amount invoiced
  • Visits completed by technician and route
  • Pools with readings out of range
  • Chemicals loaded per truck against doses logged
  • Repair quotes open, won and lost
  • Equipment warranties ending this season
  • Service plans due for renewal
Good fit

Who this is built for.

  • Companies that build in-ground pools from a design and a deposit
  • Renovation firms that replaster, retile and replace equipment
  • Service companies that run weekly cleaning and chemical routes
  • Pool builders that keep a service division for their own installations
  • Firms that handle seasonal openings and closings for residential and commercial pools
Honest answer

When it is not the right choice.

  • Someone servicing a handful of pools alone can keep going with a notebook and a chat thread.
  • Retailers that only sell pool chemicals and supplies from a shop will find Outdoor Product Business Management Software or a retail system closer.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Pool types and equipment catalogue

Shell types, finishes, and the pump, filter and heater models with their prices are loaded as they appear in your current quotations.

Build stages and payment milestones

The stages and stage-payment points in your contracts, including who signs off each inspection, are set to match.

Test fields and chemical doses

Water test fields, target ranges and standard doses for your chemicals are configured to follow your own service sheet.

Customers and routes migrated

Your spreadsheets of customers, weekly route sheets, equipment notes and open balances are imported, so routes continue without a gap.

Currency and tax settings

Stage invoices and service invoices carry the tax rules and currency of the country where the pool stands, confirmed with you at the start.

Common questions

Questions owners ask before a demo.

Does it handle both new builds and weekly service?

Yes. A new pool runs as a staged build job, and once it is handed over the same pool joins a route with its readings and equipment on one record.

What is recorded at each pool visit?

Chlorine, pH, alkalinity and stabiliser, the chemicals added, a note on water clarity and any findings. Photographs can be attached. The history for each pool is searchable.

Can a passed inspection raise the stage invoice?

Yes. Each milestone, such as steel or plaster, carries a sign-off. Once it is recorded, the stage invoice is ready for the office to review and send.

Is chemical stock tracked per truck?

Yes. Loads leaving the depot are recorded per truck, and doses logged on visits reduce the balance. A shortage between the two shows up before the next order.

Are pump, heater and salt cell warranties recorded?

Yes. Each item is held against the pool with model, install date and warranty end date, so a failing unit can be checked for cover before a technician is sent.

How are weather cancellations handled?

A dispatcher moves a day’s visits to another day, and customers are told by message. The route order for the new day is reset from the same list.

Can customers’ unpaid invoices and routes be loaded?

Yes. Spreadsheets of customers, route sheets and open balances are imported, then the dispatcher walks a route or two against them before the first live week.

Who owns the readings and customer records?

You do. Pool histories and invoices stay your property. The quotation names the file format in which they can be taken out.

How is the cost worked out?

It turns on how many technicians you run, whether construction jobs are included and how much history you bring across. We run a demo with your own pool types first, then send the proposal in writing.

Is the water tested automatically?

No. Technicians enter readings from their own test kits or meters. A sensor feed is not included unless it is scoped separately.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
