GullySystem
Legal and accounting · Software for chartered accountant firms

Every return date, we are chasing the same clients for the same bank statements.

Chartered accountant firms run GST, TDS, ITR and audit work on Tally, government portals and an Excel tracker, with client documents on WhatsApp. GullySystem builds a practice system for tasks, document requests, staff time and billing, so partners see what is stuck and why. It starts with a free technology audit.

At a glance

Your firm files GSTR-1 and GSTR-3B every month, TDS returns every quarter, ITRs and tax audits every year, and statutory audits in between.

The filing tools are fine. Knowing which client is stuck on what, and why, is the hard part.

How the work runs today

Before each due date, staff message clients for sales registers, purchase bills, bank statements and Form 16s. Documents arrive on WhatsApp, in email and on pen drives, and are saved in folders named by client and month.

Articled assistants and staff prepare returns in Tally or the firm’s tax software and file on the GST and income tax portals. A partner reviews the big ones. The status sits in a shared Excel sheet updated at night.

Audits bring working papers, confirmations and UDINs. Fees are billed per return or on retainer, and collecting them waits until after the season.

Where it breaks

What goes wrong for chartered accountant firms without a proper system.

Clients send documents at the last minute

Reminders are sent by hand, so clients who ignore them are chased again two days before the deadline.

The Excel tracker is always out of date

Three staff update it at different times, and a partner cannot trust it at a glance.

We can’t see who is working on what

Articles’ time goes to urgent clients, and there is no record of hours spent against the fee charged.

Fees are billed late or not at all

Extra work, a notice reply or a revised return, is done during the rush and forgotten when invoices are raised.

What the software does

What we would build for chartered accountant firms.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Compliance task list by client

Every return and audit per client with due date, assigned staff, reviewer and status.

Document request portal

Clients get a list of what is needed and upload against it. Reminders go out automatically until it arrives.

Staff timesheets

Time logged by client and task, for reviewing load and pricing next year.

Notice tracker

GST and income tax notices with reply due dates and the person handling each.

Billing from completed work

Fees raised from tasks marked done, including one-off work, with outstanding amounts by client.

How it works

How the work runs from Bengaluru for your city.

  1. 01

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 02

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 03

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 04

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 05

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions chartered accountant firms ask before they call.

Does it replace Tally or our tax software?

No. You keep filing with the software you trust. This tracks the work around it, and the firm’s own fee invoices can post to Tally.

Is there a ready practice management tool we should use?

Yes, a few exist for Indian CA firms, and for a small practice they may be enough. We build when your structure, partners or client portal need something they don’t do.

Who can see client financials?

Only the staff assigned to that client and the partners. Downloads are logged, and access ends the day an article leaves.

Can it track UDINs and audit working papers?

Yes. The UDIN is recorded against each report you sign, and working papers are filed per client, audit and year. Generating the UDIN stays on the ICAI portal.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
