Track every client’s documents, filing status, notices and fees.

Tax consultants file income tax and indirect tax returns from portal logins and a client register, and every season the same chase for papers begins again. Papers arrive as photos. Fees arrive even later. The tracker holds each client’s tax numbers, documents, filing status, notices and fees, from the first reminder of the season to the last unpaid invoice.

At a glance

Your clients run from a salaried engineer with capital gains to a corner shop owner with a sales tax registration and a small builder who must withhold tax at source. One wants a refund, and one wants to be left alone.

All of them want the return filed on time, and a call only when there is a refund or a notice.

How the work runs today

From the start of the filing season, salary certificates, bank interest statements, rent receipts and broker statements arrive as photographs. You pull the tax authority’s statements of income and tax already paid, match them line by line, compute the tax, and send a summary for approval before filing.

Registered clients send sales and purchase bills every month before the periodic sales tax or VAT return. You check input tax credit against the supplier data on the portal, find a supplier who has not filed, and chase him through your own client, which is nobody’s favourite conversation.

After filing come refunds, assessment intimations and the occasional notice. Withholding returns fall due on the schedule your country sets, for the clients who deduct. Fees arrive by bank transfer or card, weeks later, and who has paid lives in a notebook.

Where it breaks

What goes wrong for tax consultants without a proper system.

Documents come as photos in chats

Finding last year’s capital gains statement means scrolling through eleven months of messages, past two festival greetings and a wedding invitation. Nothing is where you left it.

Who is still pending is unclear

With a few hundred clients, the list of who has sent papers and who has not exists only in your head, and it is worst in the last week. Every season starts from scratch.

Notices are missed

A notice lands in the client’s own email, he forwards it late, and the reply date is already close. Penalties can follow.

Fees are forgotten after filing

Once the return is e-verified, replies stop. Small fees left uncollected across a season add up to a month of income.

What the software does

What we would build for tax consultants.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Client list with filing status

List every client with tax number, registration number, return type, documents received and e-verification, sortable by what is still missing.

Document requests and uploads

Let clients upload into a checklist on their own login, not a chat, with reminders that name what is still missing. Each reminder is counted.

Indirect tax return calendar

Show monthly and quarterly clients, with bills received and the sales tax or VAT return filed against each.

Notice tracker

List notices with their reply dates and who is handling each, client by client. Nothing waits on a memory.

Filed copies and acknowledgements

Keep the e-verification receipt, the acknowledgement and the filed return against the client and the year, so last year’s copy comes up in a search.

Work allocated to staff

Give each return and each registered client an owner and a due date, and see what is sitting with whom.

Fee and payment tracker

Record fees per return and the receipts against them, and keep a pending list ready when the season ends. An export to your bookkeeping tool is not built in and is quoted separately.

A screen-share and a look at the sheets, accounting reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions tax consultants ask before they call.

Does this file returns for us?

No. You file on the portals or through your tax software, as now. This holds the clients, the documents, the status and the money.

Will our portal logins or digital signature sit inside it?

No. Those stay with you, where they belong. Held here are the client’s details, documents, filing status and fees, and nothing that signs a return.

Is a spreadsheet enough for my practice?

For a short client list, a good spreadsheet and disciplined chat labels will hold. Software begins to pay once you have staff, sales tax clients and a few hundred income tax returns in one season.

Can clients check their filing status without calling me?

Yes. Each client gets a portal login showing what you still need, along with their own filings and bills.

How is a tax practice tracker quoted?

Clients on the register, staff handling work, return types you file and whether clients see a status view all count. A look at your client sheet comes first. A quotation with a line for each part follows.

What should a tax practice have ready first?

Collect the client register, a document request list, the filing calendar, a notice log, filed copies with acknowledgements and the fee sheet. A senior associate and whoever sends invoices then check screens for us.

Do client records stay with the practice if it leaves the system?

Yes, and so does the code. Whenever needed, the practice can export clients, notices, filing status and fees to spreadsheets. Support goes on with those who wrote it. GullySystem manages hosting unless the practice prefers its own.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.

  2. Within one business day you get a written note: what we understood, what we would start with, and the questions we still have.
  3. If it fits, a proposal follows with the order of work, what we need from you and what you receive at each step.
  4. No call is booked and nothing is paid until you have read the note. Your details stay with us.
